Job Description

Responsibilities
  • Perform full spectrum of administration duties:
  • Central Administration
    • Coordinate with internal and external parties to deliver administrative support
    • Ensure the office is stocked with necessary supplies and that all equipment is working and properly maintained
    • Handle the procurement of all office services, equipment and supplies including quotation, negotiation, evaluation, vendor management, etc.
    • Responsible for end-to-end staff onboarding and exit procedures
    • Manage access right applications according to relevant guidelines and the users' role and responsibility
    • Plan and coordinate staff events and training sessions
    • Compile and maintain various administrative reports, and conduct sample check when necessary
    • Develop and implement internal operational procedures to enhance administrative operations and comply with the bank’s policies and standards
  • Expense and Control
    • Review the expense claims in compliance with the bank’s policies and standard
    • Conduct regular monitoring and prepare various expense reports as a control point
    • Handle payment settlement and cost allocation
    • Proper handling of record management such as document archive and retrieval, green bag disposal, data backup, voice log retrieval and access, shared drive access, etc.
  • Workplace Infrastructure
    • Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards
    • Manage key registry, door access applications and review
    • Maintain essential premises record and layout plan of the department’s office premises
    • Responsible for seating and restacking arrangements
  • Assist in ad hoc projects as required
Requirements
  • Bachelor’s degree preferred
  • 1 to 2-year administration experience in a banking or financial institution
  • Proficiency in MS Office including Word, Excel and PowerPoint
  • Familiarity with office administration
  • Administrative writing and reporting skills
  • Good communication and organizational skills
  • Strong sense of responsibility, deadline-oriented, solution-focus, detail-minded
  • Able to work independently under pressure and tight timelines
