Job Description

You should be responsible for:

  • supporting the Head, Commerce and Visitor Services to ensure smooth running of all business operations and visitor experience within the museum and providing cross team development and communication;
  • providing administrative support to the Head, Commerce and Visitor Services in a timely manner, such as managing calendar, coordinating schedules, arranging meetings, minute taking and follow up actions,  consolidating records, financial reports and documentation, archiving,  and preparation of presentation materials;
  • coordinating with external parties, internal parties, stakeholders, clients and prospects, greeting and escorting when necessary;
  • providing support with third party operators, facility management, security, finance and IT department to ensure smooth daily operations of all commercial businesses and office;
  • providing support in daily financial functions, procurement exercises and ensuring all other accounting related matters are in compliance with the authority-wide policies;
  • supporting overall  operations, logistics coordination and quality control with a mind to brand alignment, mission and vision; and
  • performing any other ad hoc tasks as assigned by the supervisor when required.

You should:

  • possess a recognised university degree, preferably in commerce, business administration, hospitality or other relevant disciplines.
  • have at least 3 years of relevant working experience, preferably in a commercial capacity with exposure to high degree of governance;
  • possess experience in handling procurement administration;
  • have strong administrative skills with meticulous attention to details;
  • be highly organised, reliable, resourceful, self-motivated and able to multitask and work independently with strong problem-solving skills;
  • be a fast learner with good working attitude and be able to work cooperatively with others;
  • be computer literate with experience in Word, Excel, PowerPoint and Outlook, other computer skills will be considered an asset;
  • be sensitive with numbers and possess experience in compiling different type of management reports; and
  • have excellent oral and written communication skills in English and Chinese.
