Job Description

The Department

The Security and Integrity Department (S&I) is responsible for the preservation of integrity by combatting criminality and corruption risks that can threaten horse racing, betting, and membership at the Club. The maintenance of a secure environment and integrity is key to our business. Not only is it important to ensure horse racing in Hong Kong is fair, it is also of paramount importance to the Club that there is governance and fair opportunities in all bet-placements. The Security and Integrity Department consists of Security, Integrity, Anti-Money Laundering (AML) Due Diligence & Research (DD&R) as well as Financial Crime Risk (FCR) teams.

The job holder reports to the Executive Manager of Due Diligence and Research (EMDDR) and works closely alongside the Senior Due Diligence and Research Managers (SDDRMs) and their respective teams. Under the EMDDR’s and SDDRMs’ direction, the job holder is required to manage, supervise and coordinate the daily operations and activities of the DD&R team, including the provision of general budgeting, Information Technology or system-related, administrative and secretarial support.

The job holder is also required to perform record/system-management-related duties and provide operational support in relation to the Club’s wider due diligence screening process.

The Job
You will:

  • Manage the handling of DD&R processes including incoming screening requests from business units and DD&R outcomes back to such units, as well as updating the team and other S&I parties as appropriate of such actions, as well as updating internal systems
  • Responsible for organising and managing internal and external stakeholder engagement conducted by DD&R team, including but not limited to calendar scheduling and minutes-taking for internal Committee meetings; and assisting with travel arrangements for any overseas engagement or conferences
  • Collaborate with SDDRMs to support and track the progress of projects including liaising with relevant parties, updating project calendar and log sheets, providing regular progress reports, and monitoring the projects with KPI tracking tools or other case management tools on an ongoing basis
  • Responsible for administrative and secretarial functions within the DD&R team, including but not limited to the handling of internal and external expenditures and claims, the procurement of office-related software & hardware, the procurement of external research vendors and services, and assisting with the preparation of team budgets & forecasts
  • Other administrative and secretarial functions as required by managers of DD&R team including assisting in the administrative process relevant during the on-boarding and departure of DD&R team staff members, arranging DD&R team’s monthly meetings, Town Halls, team-building events and other team-wide functions
  • Provide administrative support to the EMDDR & SDDRMs in the carrying out of their duties as required.

About You
You should have:

  • Tertiary education with a minimum of five years of administrative or relevant experience
  • Hands-on experience in MS applications such as Word, Excel and Chinese Word Processing
  • The characteristic of being an effective team player actively support team work and play a key role in supporting change initiative
  • Strong communication, interpersonal and co-ordination skills
  • Ability to multi-task, be a self-starter, show initiative; accept responsibility and accountability
  • Remained productive in demanding and stressful situations, and meet deadlines; ability to manage and prioritise
  • Attention to detail and show commitment to provide quality service.
  • TECHNICAL SKILLS
  • (minimum requirements)
  • Fluency in spoken and written English and Chinese (Cantonese and Mandarin)
  • English and Chinese typing is essential. Proficient in Microsoft Office software. including Word, Excel, PowerPoint, Visio and SharePoint
  • Proficient in using video conferencing software including Zoom and Microsoft Teams
  • Basic accounting skills and intermediate knowledge for administrative process
