Job Description

Currie & Brown is currently looking for a secretary for our directors and project teams in the Hong Kong office.

Responsibilities for the successful candidate will include:

  • Providing the full spectrum of secretarial service to directors
  • Assisting the directors in executing business projects and monitoring progress
  • Communicating with management on operational issues and ensuring proper reporting
  • Managing the contact database, filing and assisting with marketing tasks
  • Arranging meetings and taking minutes
  • Organising and maintaining diaries and making appointments
  • Arranging transport, travel, visas and accommodation
  • Screening phone calls, enquiries and requests and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Preparing various correspondences, reports, proposals, minutes and presentation material
  • Translating documents from English to Chinese or vice versa
  • Assisting technical staff in typing documents and finishing them before the deadline
  • Serving other directors when the respective secretary is on leave
  • Attending company functions and providing reception service when required
  • Helping with other supporting departments’ duties when required
  • Complying with quality assurance policies and procedures
  • Supporting any ad-hoc projects as assigned by superiors

Requirements:

  • A minimum of one year’s related experience
  • Experience in the construction industry or quantity surveying company an advantage
  • Exceptional written and oral communication skills in Chinese and English
  • Excellent skills in word processing, PowerPoint and a knowledge of a range of software packages
  • Ability to work independently, under pressure and with tight deadlines
  • Good organisational and time management skills
  • Ability to research, digest, analyse and present material clearly and concisely
  • Excellent interpersonal skills
  • Polite and efficient phone manner
  • Honest and reliable
  • Attention to detail
  • Discretion and understanding of confidentiality issue
