Overall purpose of the job

To provide professional and operational HR support to APAC region including but not limited to Hong Kong, China, Australia, Japan, Malaysia and Taiwan offices, and help to implement all the group HR practices.

Key responsibilities

Human Resources Administrative and Operational support-

  •        Prepare and issue new employee contracts and contract variations:

o    In English language in all offices

o    With additional Mandarin language translation in China and Taiwan

  •        Administer the coordination, processing and data entry of all paper and electronic HR transactions against quality standards and agreed timeframes
  •        Provide initial point of support to employees on HR Self-service matters
  •        Administer and support the implementation of changes or modifications to HR policies, systems and processes to ensure they are in line with Group HR practices unless localisation applies
  •        Prepare and issue various letters including P&IQ Bonus, and AAA bonus letters
  •        Coordinate and undertake auditing of employee files for the purpose of accuracy and correctness against standard processes, delegations and business requirements
  •        Support the Head of Pensions and Benefits to manage Medical, Life Assurance, Employee Compensation and Office insurance. Drive the insurance renewal process with oversight from the Head of Pensions and Benefits
  •        Assist employees with completing medical claim forms and providing reimbursement information
  •        Provide updated HR related information to payroll team
  •        Maintain and accurately update employee personnel records in the HR system in a timely manner for all starters, leavers and changes during the employee lifecycle
  •        Maintain Employee personnel soft copy files on SharePoint for Hong Kong office and all other offices in Asia Pac, ensuring all documents and supporting documents are saved in line with the expected compliance standards
  •        Liaise with the HR Operations team on process and data validation
  •        Maintain employee handbook

Recruitment and On-boarding

Support the recruitment and on boarding process by:

  •        Supporting recruitment activities in China, if needed
  •        Managing the foreign staff work permit applications and status including monitor of the expiry dates, renewal and new applications
  •        Contributing and ensuring the delivery of a standard corporate On-boarding program to all new staff
  •        Co-ordinate administration processes for probation reviews, track confirmation, issue interim and probation end review templates, follow up with Line manager, prepare confirmation letters and monitor contract expiry for renewals

Learning and development

  •        Support the Head of Talent Management to organise learning and development training sessions as required
  •        Support the Head of Talent Management to coordinate lunch & learn sessions for employees with external providers other health and wellbeing benefit related organisations
  •        Support the Head of Talent Management to maintain the annual training and events calendar

HR Special Project

  •        Support the HRBPs in HR operational activities related to special HR Projects as required
  •        Assist to coordinate schedule, Collect & Translate documents, and Open to provide any other support as appropriate.

Other

  •        Demonstrate a commitment to Group HR policies and procedure and contribute to its development and improvement.
  •        Assist Group HR initiatives such as health and wellbeing, recognition, D&I or any other
  •        Maintain and enhance professional knowledge and technical HR skills by keeping up to date with new developments and relevant trends
  •        Support the business and HR by assisting with employee relations activities where required
  •        Undertake any reasonable additional HR related tasks as directed by business heads, HR Ops lead, London HR heads and line managers.

Ad hoc duties

As requested by your Line Manager or relevant Board Director, the Job Holder will perform reasonable ad hoc duties within the Job Holder’s capabilities.

Person Specification

Essential            

-          University graduate, with preferred major in HR or related discipline

-          Minimum 5 years of working experience HR officer/ HR Administrator role

-          Excellent level of reading, writing and translating Mandarin is MUST as this role required to draft contracts and HR letters in China and Taiwan.

-          Good command of written & spoken English

Useful                 

-          Knowledge of HR areas and basic employee life cycle

-          Proficient across the Microsoft Office suite

-          Excellent computer literacy skills and numeracy skills

-          Most important - approachable and personable at all times

-          Ability to prioritise multiple tasks and complete work accurately and on time
