Job Description
Main Purpose of role:
To provide administration service in the area of record keeping, ordering, printing and stationary, telecommunication, insurance service support, general office and building services support to the businesses.
To carry out supportive functions to the Company and assist in handling any ad-hoc projects assigned by the supervisor.
Core Key Responsibilities / Accountabilities:
A. Insurance
1. To record all potential general liability claims and motor claims from business in proper order.
2. To check and review the potential claim cases status and the sufficiency of supporting documents (eg. Incident report, statement and video / photos) for the cases.
3. To handle case settlement arrangement and prepare related documents and discharge forms.
B. Order processing and invoice payment
1. To assist internal users to attach scanned documents into the purchase requisition form of Navision system
2. To generate and send out purchase orders in the Navision System and confirm orders receipt by vendors.
3. To check purchase order and goods receipt status in Navision.
4. To monitor and expedite goods / services delivery schedule for related orders with suppliers.
5. To check invoices from suppliers from related areas and arrange invoice settlement
C. Printing and stationary support
1. To arrange all printing and stationary items including new printing requirements for internal customers.
2. To check and monitor the stationary and cartridge inventory and to ensure that adequate inventory level is maintained from time to time
3. To operate the web portal for the print device system and provide support to users
4. To prepare the printing report and monitor the usage copies and office papers.
D. Telecommunication support
1. To provide support to internal users for fixed line telephones and mobile phone services.
2. To check telephone phone bills and monthly usage reports from service providers.
E. Building Services
1. To keep the office safe and tidy at all times.
2. To check and maintain the building facilities in good operation condition at all premises.
F. General office support and ad hoc tacks
1. To provide general office support to internal users for their inquiries and business needs.
2. To keep the office equipment in proper maintenance and orders.
3. To provide support to the supervisor for ad hoc tasks as happened from time to time
Requirements:
• DSE or above;
• Good communication skills and telephone manner;
• Familiar with MS Excel, word software;
• Patient and responsive, empathetic and customer-oriented, work-to-detail, responsible and reliable.
