Job Description

HOW YOU WILL CONTRIBUTE AND LEARN?
- Provide office administration / facilities management services for Head Office in Hong Kong, other off-site offices, and visitor centres.
- Preparing reports and managing departmental filing for documents and records.
- Monitor and evaluate the works & services performed by contractors and outsourced staff.
- Coordinate with users to assess their satisfaction with facilities and administrative services.
- Regularly conduct inspections to ensure facilities and the working environment maintains a safe condition, promptly addressing any cleanliness issues that may arise and arranging for contractors to handle them in a timely manner.
- Facilitate goods and service procurement including but not limit to preparing documentation for tenders, price analysis, market surveys and performance evaluation and ensure the process complies with internal policies and procedures.
- Assist in fixed assets management and control for Head Office and Worldwide Offices.
- Provide support for company activities and events, whether they take place within or outside the office premises.
- Assist in warehouse and inventory management to ensure the best utilisation of warehouse and timely disposal of unused stocks.
- Undertake additional responsibilities and help with ad hoc tasks as assigned by supervisors.
WHO ARE WE LOOKING FOR?
- University graduate with minimum 3 years of working experience in general office administration and/or facilities management.
- Experience in office renovation projects and modification works would be an advantage.
- Experience in formal procurement and tendering process.
- Meticulous and detail-minded, strong ability to multi-task and able to work independently.
- Excellent customer service, interpersonal and communication skills.
- Proficiency in MS Office applications, including PowerPoint presentations, and knowledge of Adobe will be advantageous.
- Working during non-office hours, public holidays, and Sundays may be required.
