The Registry is responsible for the planning and implementation of policies concerning academic development and quality assurance, student admissions, registration, records, assessment and administration of study programmes.
Responsibilities
- Lead and manage a team of supporting staff to provide professional administrative support
- Oversee office administration and management, including ensuring efficient workflows, organising office resources, and maintaining a good office environment
- Assist the Registrar in handling staff matters, such as maintaining personnel records, coordinating staff training, and facilitating communication between staff members
- Provide logistic support to various events, such as coordinating venue arrangements and ensuring smooth event execution, including examinations and congregation ceremonies
- Assist in preparing budgets by gathering relevant financial information and providing input for budget planning
- Source quotations, liaise with vendors/suppliers, place orders and issue purchase requisitions on equipment and consumables
- Coordinate with internal and external parties, including other departments, external service providers, and stakeholders to manage daily office operations and ensure effective communication and collaboration
- Maintain records, documentation, and files for the office and personnel, ensuring accuracy, confidentiality, and easy retrieval of information
- Prepare and handle correspondence to outside parties, including drafting emails, letters, and reports, and maintaining proper records of outgoing communication
- Undertake other duties as assigned by supervisor(s) to support the efficient functioning of the office
Requirements
- Post-secondary qualification with at least 3 years’ administrative experience or a Bachelor’s degree
- Good command of English and Chinese (including Putonghua)
- High proficiency in Microsoft Office applications
- A strong sense of responsibility
- Effective communication skills
Candidates with less/more experience will be considered for appointment at a relevant rank.
Salary and Fringe Benefits
The rank and commencing salary will be commensurate with qualifications and experience. Fringe benefits, where applicable, include annual leave, medical and dental benefits, mandatory provident fund and gratuity.
