Job Description

OFFICE OF THE DEPUTYPRESIDENT AND PROVOST

Senior Executive Officer (Ref. 240514011-IE)

Duties

The appointee will be required to:

(a) provide administrative support to the Office in day-to-day operation, such as collection and analysis of data, and preparation of papers and documents;

(b) provide secretarial service to committees, task forces and/or working groups and prepare documents such as minutes, reports and data;

(c) maintain a proper record of all minutes and records of the committee/working group meetings and other correspondences of the Office;

(d) liaise with academic and non-academic units of the University as well as external organisations on relevant matters;

(e) work closely with internal and external units to contribute to the formulation, development and implementation of policies, procedures and guidelines relating to the overall planning and development of the University; and

(f) perform any other duties as assigned by the Deputy President and Provost or his delegates.

The appointee may be required to work beyond or outside normal office hours and travel occasionally to Mainland China and overseas for the purposes of attending meetings and/or coordinating events.

Qualifications

Applicants should:

(a) have a recognised degree or above;

(b) have at least eight years of solid and relevant post-qualification administrative experience, preferably with some years of experience gained in sizable organisations or tertiary institutions;

(c) have an excellent command of both written and spoken English and Chinese, with proficiency in Putonghua;

(d) have excellent communication, interpersonal and presentation skills as well as computer literacy;

(e) be meticulous and have critical thinking, good analytical, problem-solving and organisational skills; and

(f) be pleasant, presentable, proactive, independent and must be able to formulate/implement plans independently and work under pressure.

Shortlisted candidates will be invited to sit for a written test.

Conditions of Service

A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
