HOW YOU WILL CONTRIBUTE AND LEARN?
- Handle mainline operation and ensure all incoming calls are promptly and courteously screened and transferred to related departments or personnel in accordance with the company’s guidelines.
- Provide good and courtesy customer services to all visitors and coordinate with the internal staff
- Ensure smooth operation of the reception counter to handle all incoming/outgoing mails/parcels with post office, local and overseas courier companies.
- Provide administrative and clerical support to the Facilities & Administration Department, not limited to preparing administrative reports, payment settlement etc.
- Provide general office administration and reception support such as meeting room set up, F&B support and replenishment of refreshment and office supplies.
- Coordinate internal Admin Car booking system.
- Conduct periodic inspections on office facilities and services.
- Ad hoc tasks assigned by supervisors.
WHO ARE WE LOOKING FOR?
- Post-secondary or above education
- At least 2 years working experience as a receptionist in a sizable organisation
- Preferably with practical experience in handling phone system and enquiries
- Be flexible, responsible to perform delegated duties
- Good command of English, Mandarin and Cantonese with polite telephone manner
- Fair knowledge of computer and relevant software applications
- Fair knowledge of administrative and clerical procedures
- Maintain and ensure a clean and well organised reception area
- Work overtime occasionally for supporting operation if needed
Working Hours
- Staff will be required to work 9 hours per day (Monday to Friday) with a one-hour meal break included.
- Working hours will be assigned in shifts: 0830 to 1730, 0900 to 1800, and 0930 to 1830. The specific shift schedules and arrangements will be determined and communicated by the Manager.
- Concessionary Morning off on Saturday
