We are currently seeking a dedicated and proactive Receptionist and Admin Assistant to join our team at Capstone 72 Academy Limited. As the first point of contact for our company, you will play a vital role in creating a positive and welcoming environment for visitors and employees. In addition to receptionist duties, you will provide administrative support to various departments within the company.
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct phone calls, taking messages and transferring calls as necessary.
- Respond promptly and professionally to customer inquiries via WhatsApp, phone, email, and other communication channels.
- Manage the reception area, ensuring it is tidy and presentable at all times.
- Handle incoming and outgoing mail, including sorting, distributing, and tracking packages.
- Assist with scheduling appointments and managing meeting room bookings.
- Provide administrative support to various departments, including data entry, document preparation, and filing.
- Assist in coordinating travel arrangements and accommodations for employees, if necessary.
- Maintain office supplies inventory and place orders as needed.
- Assist with other administrative tasks as assigned.
Requirements:
- Degree or above is preferred.
- Proven experience as a receptionist, administrative assistant, or in a similar role is preferred.
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Proficient in MS Office (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, scanners).
- Ability to handle confidential information with discretion and maintain a high level of professionalism.
- Strong time management skills and the ability to prioritize tasks effectively.
- Positive attitude and a willingness to assist others.
