Job Description

Job Title- HR- Contractor for Finger printing activity (part of HR Operation team)

Department- HR

This is a contract role, short term for 3 weeks.

This role is based at our client side, an opportunity to gain short-term working experience in a bank.

 

As HR operations

  • We deliver Services and transformation to HR and the broader business.
  • Provide consistent, quality advice and support to all colleagues on Fingerprinting requirements.
  • Ensure that our processes, systems, data and analytics underpin the HR operating model and deliver a great service to our colleagues.

 

Overall purpose of role: To support our client in being compliant to regulatory requirement.

  • Preferred candidate with Query management skills to track, monitor and report the queries.
  • Pays attention to detail in overall activity.
  • Candidate willing to undergo required training and have quick grasping ability to perform the role.
  • Flexible to work and support throughout the process on business demand.
  • Ensure 100% accuracy level maintenance in the overall activity.
  • Ensure to follow the process workflow as trained and adhere to the business controls.
  • Being diligent in the process as per Barclays standards.
  • Assist the People Leader / Project Team with any queries, dashboards etc. per business requirement.

 

Day-Day activities:

  • Check-in on the security measures to carry out the fingerprinting activity.
  • Queue management of colleagues that appear for submitting the fingerprints.
  • Validate the Employee consent response by referring to the Fingerprinting tracker before collection of fingerprints.
  • Validate the colleagues’ Government issued ID proofs and fill in the details on FINRA hard card as per instructions (Name as per ID proof, Height, Weight, Eye Colour, Hair Colour, Gender, DOB, Place of Birth, Citizenship) and perform quality checks on the filled card.
  • Capture colleagues’ fingerprints on the FINRA hard card as required.
  • Perform quality checks in the duly completed FINRA hard card and ensure to update the Fingerprinting tracker with the completion status on regular intervals throughout the day.
  • Address any open queries from colleagues in person and track colleague comms email responses and address them / loop the respective team to assist the colleagues with their query.
  • Ensure the completed wet FINRA hard cards are scanned and sent to respective mailbox for Storage before packing along with the reconciliation numbers.
  • Pack the completed hard cards in a package (3 layer) packing in a Tear proof cover and keep them ready for shipment.
  • Update the Fingerprinting tracker with running numbers that will be in a given pack for each colleague (example: colleague 1 to 20 – Package 1; colleague 21 to 40 – Package 2 etc.)
  • Schedule a pickup of the packed cards with the empanelled shipping vendor (DHL) and take a print of the invoice and track Airway bill details in the Fingerprinting tracker.
  • Confirm to HR Operations team on the closure status each day during the fingerprinting schedule.
  • Assist the People Leader / Project Team with the preparation of the weekly dashboards on the Fingerprinting status.
  • Overall, the volume is expected to be 15 – 20 per day.

 

Risk and Control Objective

Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise-Wide Risk Management Framework and internal Barclays Policies and Policy Standards.

 

Person Specification/Essential Skills:

  • Familiar with Operating Systems (Windows 98/95/2000/NT)
  • MS Office Application Suite (Preferably Advance Excel) 
  • Excellent verbal and written communication skills.
  • Volume / Queue management.
  • People handling skills (for handling general queries, conflicts etc.)
  • Ability to complete or advise on completion of high-volume routine/non-routine tasks and prioritise accordingly.
  • Workflow time management experience.

 

Basic Qualifications:

  • Graduate in any discipline 
  • Detailed understanding of the business operational objectives, service standards and compliance requirements
