Job Description

The Group has operations in 12 markets and operates multiple formats in most markets to satisfy different customer segments and trades under well recognised brands.
Key Responsibilities:
- Manage and maintain C suites schedule and calendar, including scheduling and confirming appointments, meetings, and events.
- Coordinate travel arrangements, including booking flights, hotels, ground transportation, and preparing travel itineraries.
- Draft and prepare correspondence, reports, and other documents as needed, often with little or no direction.
- Prepare materials for meetings, including agendas, presentations, and other documentation. Conduct research and gather information as requested by the C suites for various projects and initiatives.
- Attend meetings with the C suites and take notes, minutes, and follow-up on action items as needed. This includes basic translation of meetings or documents from Mandarin to English
- Manage and maintain confidential files and records for the C suites, ensuring they are organized and accessible.
- Manage various personal tasks for the C suites, including coordinating personal appointments, managing personal applications, and handling personal errands.
- Liaise with internal and external stakeholders, including other senior executives, board members, clients, vendors, partners and other personal assistants to C suites.
- Perform other administrative duties as assigned by the C suites
Requirements:
- 5+ years of experience as a personal assistant or executive assistant to a C suite or other senior executive.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize competing demands.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with a wide range of stakeholders.
- Strong problem-solving and decision-making skills, with the ability to anticipate and mitigate potential issues.
- Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience with travel coordination and event planning
- Ability to work independently with minimal supervision and take initiative when needed.
- Proficient in writing and speaking in Mandarin and English
- Flexibility to work outside of normal business hours.
