Job Description

The University now invites application for the following position:
Executive Officer – Registry (Ref: EO(REG) 2024-06-07)
Responsibilities:
- provide support for programme administration, including but not limited to:
- student registration
- maintenance of student records in SIS
- time tabling and module registration
- handling of application for deferment of study / leave of absence / withdrawal of study / reinstatement of study
- arrangement of examinations
- assessment of students’ academic results and graduation
- issuance of academic credentials e.g. transcription, letter of certification, award certificate, etc.
- preparation of student statistics and relevant reports
- liaisons with the Finance Office for the calculation of tuition
- answer students’ enquiries and handle student cases;
- liaise with the Schools/Departments/other academic units in providing registry services to the staff and students;
- assist in the organisation of the academic events, including the Convocation, Graduation Ceremony, etc.;
- assist in the updating/ revamping of Registry webpage;
- serve as secretary/member to committees and working groups; and
- provide support to the Registry-related functions including admission exercise, Info Day, etc.
Applicants should:
- possess a recognised bachelor’s degree with at least 3 years of relevant work experience in the tertiary education sector;
- have good command of written and spoken English and Chinese (Cantonese and Putonghua);
- have good computer literacy, including Chinese word processing and publishing software;
- have effective administrative abilities and strong organisational skills;
- have the ability to relate to a diverse community of users, stakeholders and service providers; and
- be independent, resourceful, detail-oriented and a team player.
