What's the job?

As the Business Operations and Administrative Manager, you'll play a pivotal role overseeing both our internal project management system and administrative functions. You'll collaborate with stakeholders to align project management processes with our organizational goals, drive efficiency improvements, and lead the resolution of complex project issues. Simultaneously, you'll maintain our office infrastructure, equipment, and property coordination, ensuring a seamless and productive work environment. Your multifaceted responsibilities encompass everything from office maintenance to business travel arrangements, with a keen focus on enhancing our overall success through streamlined operations.

You will do the following in this job:

  • Oversee and coordinate all aspects of office maintenance, repairs, improvements, and cleanliness to maintain a well-functioning and welcoming workspace.
  • Manage equipment usage, repairs, maintenance schedules, and inventory to optimize resources and minimize disruptions to business operations.
  • Monitor and coordinate vending machine restocking, manage relationships with suppliers, and ensure the availability of quality items for employee needs.
  • Establish and maintain a professional office environment that enhances employee satisfaction, engagement, and productivity. This includes managing office decor, furniture arrangements, and ergonomic considerations.
  • Serve as the primary point of contact for property management, fostering strong relationships and effectively communicating the company's requirements, concerns, and priorities.
  • Coordinate and facilitate business travel arrangements for colleagues, ensuring a smooth and efficient travel experience.
  • Oversee and manage the internal project management system, ensuring it is maintained and optimized for effectiveness.
  • Collaborate with stakeholders to align project management processes with organizational goals and objectives.
  • Analyze project data and metrics, identify trends, and lead process improvement initiatives to enhance operational efficiency.
  • Lead and provide guidance to the combined Administrative and Business Operations team, ensuring they work collaboratively and efficiently.
  • Address complex project management and facility-related issues, demonstrating problem-solving skills and a proactive approach to solutions.
  • Support or organize staff activities, events, and project tasks as required to foster a positive and engaging work environment.
  • Perform additional ad-hoc duties as assigned to support the overall success of the organization and the smooth operation of the office and business operations.

What Talents we want:

  • Bachelor's degree from a recognized university or equivalent practical experience in a related field. Advanced degree or certification is a plus.
  • Minimum of 8 years of experience in business operations or related roles, with a demonstrated track record of leadership and successful project management.
  • Strong strategic thinking and decision-making skills, with the ability to align business objectives with project management strategies.
  • Excellent communication and interpersonal abilities, with a focus on building and maintaining relationships with stakeholders.
  • Proven experience in managing complex projects and driving cross-functional collaboration.
  • Proficiency in data analysis and reporting, with the ability to derive actionable insights.
  • In-depth knowledge of business operations, project management methodologies, and industry trends.
  • Strong leadership and team management skills, with a track record of mentoring and developing junior team members.
  • Candidate with less experience will be considered as Assistant Business Operations and Administrative Manager
