Job Summary:
We are seeking a highly organized and experienced Personal Assistant to support our Company and the executive chairman in Hong Kong. The ideal candidate needs to be presentable and have exceptional communication and organizational skills with a strong attention to detail. As a Personal Assistant, you will play a critical role in ensuring the smooth operation and providing high-level administrative support to our executives.
Responsibilities:
- Provide a full spectrum of administrative support to the Company and the Executive Chairman
- Manage and maintain calendars, including scheduling appointments, meetings, and travel arrangements.
- Coordinate and prepare materials for executive meetings, presentations, and conferences.
- Screen and prioritize incoming calls, emails, and correspondence on behalf of the executives.
- Conduct research and prepare reports and presentations as requested.
- Assist with the drafting and editing of important documents, including contracts, agreements, and proposals.
- Arrange and coordinate domestic and international travel arrangements, including flights and accommodations.
- Prepare expense reports, invoices and track reimbursement requests.
- Act as a liaison between executives and internal/external stakeholders, maintaining professional relationships and ensuring effective communication.
- Assist with event planning and coordination for corporate events, conferences, and meetings.
- Handle confidential and sensitive information with discretion and maintain confidentiality at all times.
Requirements:
- Bachelor's degree, fresh graduates welcomed
- Candidate needs to be based in Hong Kong and have a valid work permit.
- High level of professionalism, confidentiality, and integrity.
- Proactive and have a strong attention to detail and accuracy.
- experience as an assistant or similar supporting role a plus.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills in English and Chinese (Cantonese and Mandarin).
- Ability to work independently and collaboratively in a fast-paced environment.
- Flexibility to work outside of regular business hours when necessary.
- Knowledge of local business practices and cultural etiquette in Hong Kong.
