Job Description

Our client, the leading an European bank is looking for a high-caliber candidate to fill up the captioned position.

 Job Responsibilities:

  • Greet clients and visitors in a professional manner to ensure they are escorted by a staff member when gaining access to meeting rooms and the general office areas
  • Manage reception area, meeting room, and vehicle reservations
  • Answer internal and external phone calls and operate a switchboard
  • Keeping records for incoming mails & courier documents & distributing them to relevant staff
  • Arrange local & overseas courier services for the company
  • Perform general administration roles including stationery control, office equipment maintenance, corporate printing including business cards, letterhead, envelopes, invoice verification, and process payment requests
  • Preparing for meetings, video conferences, functions, and corporate events' catering arrangement
  • Responsible to send the new joiner welcome email and arrange photo shooting appointment 
  • Perform Fire Marshal duties as required
  • Perform other administrative tasks including annual renewal of Bank's Business License Registrations, regular and ad hoc floral/plant arrangements
  • Manage the tea lady to keep the office in a clean and tidy manner
  • Liaise with Building management to cleaning matters of office
  • Arrange business meetings, appointments, travel arrangements, and hotel reservations; and perform other ad-hoc duties if necessary
  • Assist and back up the workplace team as necessary

Job Requirements:
 

  • Diploma / University graduate or relevant field
  • Minimum 5+ years' receptionist experience in a Bank or Financial institution
  • Well-versed in documentation, reporting, and presentation skills
  • Knowledge in office supplies procurement and office facility
  • Strong relationship and interpersonal skills to ensure good rapport with clients, business lines, and support functions
  • Attentive to details, organized, a self-starter, and independent
  • Fast-paced, mature, well-organized, flexible, adaptive to the dynamic business environment, and able to work under pressure and meet tight deadlines
  • Fluent in spoken and written English, Cantonese, and Mandarin
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Immediate availability will be preferable
