Purpose of the Job
The Executive Assistant to the Group Chairman provides comprehensive administrative support to the Chairman. This includes managing professional and personal activities, effectively handling daily responsibilities, and assisting the Chairman in making informed decisions. The EA acts as a liaison, organizes schedules, manages correspondence, and ensures the Chairman is well-prepared for all engagements. The role requires a high level of discretion and the professionalism to handle confidential information with integrity.
Responsibilities- Actively manage the Chairman's calendar, organizing meetings, appointments, conferences, and travel to maximize efficiency.
- Prepare for meetings by creating agendas and briefing documents to keep the Chairman well-prepared for engagements.
- Handle all incoming and outgoing communications, including calls and correspondence, ensuring prompt, accurate, and confidential communication.
- Draft, edit, and review official documents such as emails, speeches, and presentations to reflect the Chairman's standards and intentions.
- Maintain confidentiality and comply with corporate governance when managing sensitive information.
- Manage document organization, storage, and retrieval, ensuring secure and easy access.
- Gather and analyze information to provide the Chairman with detailed insights; prepare reports and presentations to aid decision-making.
- Arrange both domestic and international travel for the Chairman and guests, ensuring well-prepared itineraries and smooth logistics.
- Coordinate and host events for internal and external guests, ensuring they are well executed and guests are satisfied.
- Serve as the main contact for the Chairman, coordinating with the Family Office, residence staff, and other contacts for seamless operations.
- Address ad-hoc tasks efficiently and discreetly, manage personal errands, and oversee gift purchasing and other personal needs with careful attention.
- Lead a small team to ensure collaborative and high-performing operations.
- Proven experience as an executive assistant to senior executives.
- Exceptional organizational and time management skills, attention to detail, and the ability to prioritize tasks and efficiently manage multiple assignments.
- Excellent communication and interpersonal skills, with the ability to effectively interact with diverse stakeholders.
- Excellent written and spoken English and Cantonese; knowledge of Danish or German is definitely an advantage.
- Calm and mature with a high level of professionalism and confidentiality.
- Flexibility to work outside of regular office hours if required.
- Experience with philanthropic practices and financial administration is advantageous.
