Job Description

Our client, a global investment management firm is seeking a seasoned Executive Assistant to provide hands-on administrative and secretarial support to the client engagement team. The role's mandate is to leverage the investors' time, and the ideal candidate would be an organized, proactive professional who enjoys a significant involvement in internal and client-facing events.

  • Proactive calendar management and extensive logistical coordination of meetings with various constituencies (e.g. setting up internal & external conference calls/meetings, logistical planning of events such as Investor Conferences, Offsites, and Various internal events).
  • Support new joiner onboarding including business cards etc.
  • Support putting together the quarterly company newsletter.
  • International travel itineraries and arrangements including travel visa coordination.
  • Completing expense reports, handling daily mail, file systems, and coverage of phone lines.
  • Arranging and orchestrating client meeting materials, daily reports, market data information, meeting prep packets, research materials, etc.
  • Providing backup for other department support positions as needed.
  • Assisting with ad-hoc projects or other duties as assigned.

Job Requirements

  • Minimum of 10 years experience, preferably in investment management and/or financial and professional services background.
  • Prior experience supporting events planning, organization, and execution would be a plus.
  • Intellectual curiosity and willingness to learn.
  • Advanced proficiency in MS Office (Word, Outlook, Excel, & PowerPoint). Knowledge of Bloomberg, Factset, and/or desk-top publishing tools will be an advantage.
  • High caliber interpersonal and communication skills.
  • Strong team ethic and ability to work collaboratively.
  • Excellent organizational, multi-tasking, and prioritization abilities.
  • Strong detail orientation and work quality.
  • Ability to work under pressure and tight deadlines, and to accommodate last-minute changes.
  • Positive, flexible, and can-do attitude.
  • An undergraduate degree is strongly preferred.
  • Language fluency in English and Cantonese is required; fluency in Mandarin will be viewed favorably.
