Job Description
Established in 2002, the Lee Kum Kee Family Office serves a business-owning family of six generations. The Family Office manages, preserves, and sustains the family in governance, wealth management, and communication. We offer exclusive services and add values to the family in alignment of interest, effective information flow, continuous family learning and development, and risk management.
Main Responsibilities
- Providing a full spectrum of administrative and secretarial support to the Senior Manager of Stewardship and Governance Team and the Head of Family Office (as needed) to achieve the Owners and Family Council’s goals and objectives of developing the best practices in governance and strengthening the communications with the Family and Owners Assembly
- Supporting the Senior Manager to develop the strategies and action plans to optimize the goals of the Owners and Family Council
- Supporting the Owners and Family Council in facilitating effective communication through content creation and review of workflows and guidelines e.g., drafting newsletters, updates and announcements
- Preparing presentations and meeting materials and minutes-taking in all Owners Council, Family Council and other related meetings
- Supporting family archives initiatives in achieving the Family Archives mission
- Facilitating family/owners assembly learning and bonding activities, in its program planning and implementation, and sourcing, screening and arranging learning and development programs and activities
- Monitoring project progress to ensure expected deliverables are met
- Coordinating meetings/events/activities as required
- Assisting Senior Manager to prepare the stewardship and governance annual budget, and monitoring expenditures
- Conducting research, analysis, and preparing reports as required
- Performing/Leading ad-hoc projects/tasks as assigned
Requirements
- Bachelor’s degree in Business Administration or related discipline
- Minimum 10 years relevant experience in supporting Senior Management
- Experience in working in family office will be an advantage
- Proven administrative or executive assistant experience will be an advantage
- Good communication, interpersonal, facilitation and presentation skills
- High level of integrity with confidentiality mindset and maturity in handling highly sensitive information
- Service-minded with a can-do attitude and able to proactively anticipate others needs
- A great team player with a strong sense of responsibility, flexibility, able to prioritise and work independently
- Strong problem solving skills, highly attentive to details, and project management skills
- Receptive to feedback, willing to continually learn and improve
- A provable level of interest and creativity to adapt to new technology at work
- IT literacy including MS Office and Mac Applications
- Thorough knowledge of Google apps and other cloud-based softwares
- High proficiency in both written and spoken English, Cantonese, and Putonghua
