Job Description
The Hong Kong Sports Institute Limited (“HKSI”) is the Government’s delivery agent to provide the high performance training system for eligible sports. The HKSI’s mission is to provide an environment in which sports talent can be identified, nurtured and developed to pursue excellence in the international sporting arena benchmarked at Major Games results. We are now inviting suitable candidates for the following vacancy:
THE JOB
Reporting to the Public Affairs & Marketing Manager, the Administrative Assistant will be responsible for the following duties:
- To handle enquiries and complaints from internal departments, the media, potential sponsors and the public;
- To assist in the preparatory work of Corporate Events e.g. compilation of invitation list, calling the media, monitoring equipment/ facility provision and set-up, etc.;
- To assist in updating content, photos and video in HKSI website and other corporate publications;
- To assist in the production of corporate sportswear, souvenirs and displays;
- To assist in liaising with media monitoring company, preparing media reports for Corporate Events, and filing for a large number of daily newspaper clippings;
- To assist in corporate hospitality and receiving visitors;
- To provide administrative support to the Public Affairs and Marketing Team e.g. handling in/out correspondence, car/ room reservation, financial matters, etc.;
- To follow closely all administrative requirements of different departments e.g. procurement, IT, facility, maintenance, administration, etc.;
- To monitor and prepare monthly reports and meeting notes for the Team;
- To prepare income and expenses reports for budget control;
- To help update the database system;
- To provide secretarial services to the Public Affairs & Marketing Manager; and
- To perform any other appropriate duties as assigned by supervisor.
THE REQUIREMENTS
- Applicants should have: (1) a minimum of 5 passes in HKCEE or 5 HKDSE subjects with at least Level 2 or equivalent, including English, Chinese and Mathematics; or (2) any post secondary qualification;
- Good command of both spoken and written English and Chinese. Ability to speak Putonghua is a definite advantage;
- Proficient in MS-Word, Excel, PowerPoint and Chinese Word Processing;
- Immediate available is highly preferred; and
- Awareness/ knowledge of Child Protection in sport and equal opportunity issues in the context of Hong Kong are an added advantage.
