Rank: Executive Assistant II
Department / Cluster: Various Clinical Departments, Kowloon Central Cluster
Pay: HK$19,188 - HK$23,323 per month
Up to 5% of total basic salary as end-of-contract gratuity may be offered to contract staff upon completion of the contract subject to satisfactory performance.
Key Responsibilities:
1. To support medical staffs and under supervision in the secretarial office:
- Relieve administrative work of clinicians such as to arrange medical boards, handle PRO/MRO requests and manage schedules of senior medical staffs.
- Retrieve and consolidate regular return of HR matters including roster/ call-list preparation, manpower deployment and rotation, leave management, allowances claims and outside work application.
- Support professional/clinical training matters including pre internship, interns, training sponsorship application, milestone monitoring, infection control training etc.
- Support various audit and quality enhancement programs.
- Support the increasing workload derived from projects including but not limited to:
- Pre-internship Blocks and mandatory training for Interns
- Increase utilization of SHS
- IPMOE (E-Cert Activation Coordinator)
- Hospital redevelopment project
- Document control
2. To carry out general clerical duties that includes data entry, simple statistics and record keeping.
3. To retrieve documents, compile statistics and data research.
4. To prepare materials for meetings and draft meeting minutes.
5. To coordinate and organize meetings, programmes and activities.
6. Perform any other duties as assigned by supervisors.
Entry Requirements:
1. University Graduates; OR
2. F.5/ S.5 AND relevant diploma in a specialized function with experience.
Preferable Attributes/ Exposure:
1. Responsible, self-motivated, outgoing and able to work independently with good telephone manner and interpersonal skills.
2. With experience in performing reception duties would be an advantage.
3. Strong communication skills.
4. Proficiency in PC applications, such as MS Access, Excel, Word, PowerPoint and Chinese word processing.
5. Experience in managing a high volume of data.
6. Good command of written and spoken English and Chinese.
