Job Description
Job Responsibilities
Administration Support
- Handling reception and general administrative work
- Answering incoming calls and transferring, and taking call messages
- Greeting customers/taking care of visitors-external & internal
- Monitoring the conference room booking system and process
- Arranging couriers, mailings, and office supplies
- Ensuring the reception and general office areas are kept clean and tidy at all times
Office Admin
- Managing and monitoring the daily office supplies and pantry food and drinks
- Working with the supervisor for daily vendor management, including but not limited to vendor selection, vendor evaluation, billing, validating and payment work
- Assisting consultants in booking hotels, service apartment & air tickets, and visa application
- Organizing office maintenance work, e.g., electrical maintenance, and office cleaners periodically
- Acting as the local contact to coordinate and assist events, and marketing activities
- Assisting Executive Assistants and providing case team support when needed, e.g., mass mailing,
binding, photocopying, and other general office tasks - Providing support on any ad hoc administrative work or projects as and when required
Job Requirements
- Fluent command of English and Cantonese, Mandarin is a plus
- 2-3 years experience in receptionin financial firms
- Helpful, energetic and cheerful team player
- Well versed in Microsoft Office and Chinese Word Processing
