PROJECTS & COMMUNICATION LEAD

 

Job level: Mid-level
Work experience: Minimum 3 years, preferably in hospitality, luxury industries, or media and advertising
Education: Bachelor of Science preferred
Location: Hong Kong with eventual travels for event purposes. 
Industry: Events, Experiential Events, Hospitality, Entertainment, Arts. 

 

In this role, you will be responsible for Coordinating the development and strengthening of existing and new projects under Dreams and Dreams LTD, including but not limited to Surprise Surprise. You will report to the Creative Director (CD) and act as the right arm of the creative director.

Mission: The Dreams & Dreams Lead’s role is to coordinate and assist in the planning and production of Dreams and Dreams activities. Working closely with the Creative Director, the Coordinator will help ensure the smooth running of the business through thoughtful planning, anticipation of tasks, and follow-up. You will work on exciting projects in a bright environment and be at the heart of an entertainment - and art-oriented start-up.

 

Duties and Responsibilities

Project Management/Coordination:

  • Once the initial concept direction is decided by the Creative Director (CD), you will take the concepts and ideas and develop them into client presentations. You will organize references provided by the CD, supplement them with your own, and submit for review before the client presentation.
  • Research venue options, props, talent, and set elements. Collect reference pictures based on the creative brief from the CD and consolidate them into a presentation.
  • Visit venues, plan, coordinate, and liaise with contractors and suppliers under the supervision of the CD and/or the Producer/Project in Charge (EP/PIC), ensuring smooth delivery of the experience.
  • Join, support, and take notes during all client and supplier meetings to ensure impeccable follow-up on timelines and schedules.
  • Host, support, and assist in event operations, managing production parties and logistics.
  • Maintain and manage the venue and vendor database.
  • Support the CD with client updates, distribute tasks across teams, and anticipate planning and meeting agendas.
  • Update and communicate timelines across all parties.
  • Assist with on-site visits, event setup, experience days, and de-rig operations.
  • Help manage client operation documents.

Communications:

  • Discuss communication strategy with the CD and oversee its execution, anticipating simple, actionable plans.
  • Proactively suggest creative ideas that can be easily implemented across multiple communication channels (Instagram, web, emails).
  • Ensure continuous communication with our communities by responding to or informing the directors of social media messages and suggesting responses.
  • Maintain and update content on brand websites and social media platforms (e.g., Facebook, Instagram, LinkedIn) in collaboration with the design team.
  • Based on communication guidelines, create event recaps to ensure materials are up-to-date on Instagram and the website.
  • Manage and help streamline the client, talent, and vendor databases.
  • Coordinate the design of marketing materials with the various teams we collaborate with.

Financial Administration:

  • Assist with budget management.
  • Process invoices and ensure rigorous accounting, including CD expenses.
  • Update budgets, create invoices, and follow up on client payments.
  • Track company and project expenses, handing over records to the accounting team.

Knowledge, Skills, and Abilities Required:

  • International exposure and experience working abroad
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) and MacOS software (Keynote, Pages, etc.)
  • Experience in luxury environments, luxury travel, and events
  • Excellent presentation and communication skills
  • Strong execution and time management skills with the ability to manage deadlines in high-pressure, short-lead environments
  • Basic knowledge of Photoshop/Illustrator
  • Fluent in English (spoken and written)
  • Understanding of Cantonese and/or Mandarin is a plus
  • Experience with TaoBao ordering is a plus
