We have a task-orientated working life; you'll be expected to deliver on your promises and get the job done. In balance, you are free to organise your daily routine to accommodate your schedule with our flexi-time structure. On a 9am-6pm day, we have a +/-1 hr flexi-time to best suit yourself and we rarely have late nights or weekends.

We are working in the 21st Century; we don't really do meetings; we try to use (Getting Things Done) GTD methods, Skype, Evernote and work smart to achieve a decent level of productivity. So if we do happen to have a meeting, rest assured that the minutes of the meeting will most likely be a bullet-point list of actions on a task manager rather than a tedious MS Word formatted 'must-read' memorandum.

What we do and what you will be doing at PMD..

Our main work and income is designing, manufacturing and supplying miniature motors and mechanisms used in a wide range of products such as cars, locks, medical products, toys and tools, for example. All our products are manufactured, in part or as a whole, by subcontract manufacturers in South East Asia, with the majority in China. Our Hong Kong is predominantly involved in engineering product development and quality control under the general guidance and oversight of the Operations Director.

To deliver these engineering operations, we have a significant level of administrative activity which needs your support; goods coming in, invoices being paid, stationery supplies, computers replacement, furniture ordering, bookkeeping expenses. We are now getting to the size of team where a dedicated person responsible for these would really help. This is where you come in;

As the key administrative support for office, and executive assistant to the Director your typical day may include:

  • Helping the Operations Director with accounts administration; such as bookkeeping, staff expenses, preparing cheques and invoices
  • Administrating and organising the Trello manager to improve task workflow
  • Preparing, coordinating and monitoring inbound and outbound shipments with the ERP system
  • Proof-reading and report preparation support for engineers and managers
  • Filing and recording HR records, such as CVs & sickness / holiday records
  • Office administration; including supplies like toner, paper and envelopes, refreshments, and general maintenance
  • Maintaining the condition of the office and coordinating with cleaning and other services
  • Receiving and handling incoming calls, and taking messages
  • Sorting through and preparing incoming and outgoing mail, parcels and courier packages
  • Ad-hoc travel and accommodation support as required for the team
  • Ad-hoc help and administrative assistance for fellow colleagues where possible

You will naturally be expected to maintain upmost level of confidentiality and discretion with all information pertaining to the business, the Directors, information that you learn / obtain, colleagues and business activities in general.

What we're looking for..

We are looking for a methodical and light-hearted professional who aspires to gain a positive reputation in the team as a helpful and reliable assistant. You have to be comfortable stepping up and taking on challenges, and asking for clarification when requirements are unclear. With your exceptional organisational skills and time management, the team will be able to rely on you as they need.

We prefer you to have:

  • Fluency in English and Cantonese. (Fluency in Putonghua will also be very useful)
  • Excellent, professional interpersonal skills and a positive 'can-do' attitude
  • Good telephone manner, and written communication skills (English language & grammar skills)
  • Degree or diploma from an accredited institution
  • Minimum 2 years experience in a professional commercial setting

Hong Kong citizen/resident or other immigration status with no restrictions for work in HK
