Job Description

LOCATION: The University of Chicago Booth School of Business, Cyberport, Hong Kong

GENERAL SUMMARY: The Recruitment and Admissions Coordinator assists the Regional Director to 1) ensure a world class admissions process and experience, 2) manage application system, CRM system, and database to ensure an accurate record of data, 3) coordinate event logistics to ensure seamless event arrangement, 4) provide useful data analysis of prospective candidates and applicants, 5) cultivate effective relationship with alumni, students and vendors, 6) represent Chicago Booth to answer general enquiry in a professional manner.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Manage admissions process, including applicants’ enquiry handling, interview scheduling, supporting document collection, admissions offer and rejection letter arrangement, application and CRM system and database management, smooth transition of admitted candidates to Program and Operations team.
  • Coordinate logistics for recruitment events such as venue, food and beverage reservation, flight and hotel arrangement, students and alumni invitation, marketing materials courier etc. Travel in Asia to provide on-site event support.
  • Coordinate the execution of electronic direct mailing, search marketing, print and online advertising, and social media and website content updating.
  • Coordinate the production of marketing materials (such as brochures, flyers, videos, souvenirs, etc.)
  • Answer general inquiry and assign potential leads to directors
  • Engage alumni, current students to provide support for recruitment events and admissions interviews.
  • Prepare weekly prospective candidates and application pool statistics report, monthly budget report and annual marketing report
  • Research competition, market trends, best practices to provide useful insights to marketing and admissions strategic planning


MEASUREMENTS OF SUCCESS

  • Overall rate of efficiency, accuracy, timeliness, and organization of the whole admissions process, advertising placement, event logistics, marketing materials production, and regular reports etc.
  • Successful engagement of students and alumni in participation of admissions events and interviews
  • Positive working relationships with other team members in Hong Kong, Singapore, London and Chicago

KNOWLEDGE, SKILLS AND EXPERIENCE

  1. A bachelor degree.
  2. At least 5 years of work experience in administration or customer services or CRM system or database management or event logistics. Experience in higher education preferred.
  3. Proficient with MS Office (including ACCESS) and database management.
  4. Experience in managing electronic direct mailing, online and search marketing, social media, and website management a strong advantage.
  5. Meticulous, customer-service oriented, strong team player, ability to engage various stakeholders from different cultural backgrounds.
  6. Excellent oral and written communication skills in English. Proficiency in Cantonese and Mandarin is an advantage.
  7. Willingness to work in the evenings and at weekends and travel extensively.
  8. Must be able to work legally in Hong Kong on a permanent basis

SALARY AND BENEFITS

The salary will be competitive and commensurate with experience. In addition to salary Chicago Booth offers an attractive benefits package including 20 days holiday per year – prorated (excl. Hong Kong Public Holidays), MPF fund contribution, private medical insurance offered.
