Job Summary
- To provide full secretarial support to the CFO Asia, the Head of Sales and Distribution, H.K. and Regional IT Director
- To provide minimal support for the Actuarial, Finance, Risk and the HK Sales & Distribution team, such as travel arrangement, co-ordination of team meetings, etc.
Core Responsibilities: 5-8 priorities
- Provides all-rounded secretarial and administrative support to the Executives;
- Scheduling meetings and calendar uphold, handle telephone calls, supporting business guests, incoming/outgoing mails;
- Prepares correspondences, presentations and reports; produce, print and bind business presentations; copying, managing filing system and the database at the Outlook contacts;
- Handles expenses reimbursement and reports;
- Assist with business travel, accommodation and visa arrangements
- Provide logistics support for in-house and off-site meetings;
- Provides back-up support for the other two executive assistants as needed;
- Other ad-hoc assignments and personal level of assistance as needed
Minimum Education Requirement
- Formal secretarial training or above
Typical Minimum Experience
- Minimum 8 years of relevant work experience from sizable/financial/insurance companies in which 5 years solid experience of providing support to Senior Executives;
- Flexible, responsible, trustworthy, independent, well-organized, attentive to details.
- Able to work under pressure and go extra miles.
- Good team player with excellent people and interpersonal skills and the ability to communication with people at all levels;
- Proficiency in spoken Cantonese, English and Mandarin is an advantage;
- Possess the ability of doing Chinese typewriting and having the proficiency in Chinese writing;
- Possess former solid experience working for an accounting/sales/I.T. team is a definite advantage;
