LOCATION: University of Chicago Booth School of Business - Hong Kong

Chicago Booth Asia campus in Hong Kong is looking for a highly motivated individual to join its administration team.

 

GENERAL SUMMARY: The primary responsibility of this role is to offer a wide-range of student services, academic and administrative support to Executive MBA Program Asia in the Chicago Booth Hong Kong campus. The coordinator will work with the Program Office team to ensure student high satisfaction with their learning experience, support student academic and logistics needs, organizing/managing special events/projects for students and maintaining proper student records. The coordinator will also be providing administrative support to faculty and teaching assistants for their teaching needs.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Executive MBA Program administration :

  • Front Desk reception - during class weeks.
  • Coordination logistics and setup leading to and during Exec MBA Program class weeks (materials photocopying and distributions, exams logistics, IT/AV needs, class lists etc)

 

Academic administration :

  • Faculty Services : act as main contact for visiting professors and support their travel and teaching needs.
  • Responsible for students’ record and filing, maintaining accurate student database and quality control.
  • Oversee course evaluation forms, distribution and collection.
  • Create and monitor class list, study group list, email distribution mailing lists.

 

Student Services :

  • Main contact for student questions related to campus activities, services, events and logistics.
  • Manage student visa applications.
  • Issue various official documents upon student requests.
  • Graduation and closing ceremony logistics and administration
  • Manage the relationships with caterers : assess, evaluate and supervise vendors to ensure high quality services
  • Direct and coordinate catering activities for events and programs - plan menu, place orders, logistics incl. setup and equipment, follow up to get feedback
  • Coordinating caterers, handling queries and troubleshooting on day of event to ensure that all runs smoothly.
  • Overseeing the dismantling and removal of the catering setup and clearing the setup efficiently
  • Resolve caterers grievances

 

Special Events:

  • Work with Program Office Team, plan and execute and collaborate on special events such as Chicago Kick-off week, international summer week.
  • Assists with Hong Kong campus special events logistics and setup, as needed

  1. Demonstrate a high level of administrative competence
  2. Students satisfaction rating reflected in Graduating Exit Surveys
  3. Show ability to work efficiently with minimal direction and to anticipate issues and problems
  4. Effectiveness of administrative support and database management
  5. Successful completion of scheduled events and special projects
  6. Meet project deadlines and targets
  7. Overall rate of efficiency, accuracy, timeliness and organization of all assigned tasks

 

REPORTING RELATIONSHIPS: 

Reports to Associate Director - Executive MBA Program - Asia

 

KNOWLEDGE, SKILLS AND EXPERIENCE:

  1. Bachelor’s degree/Diploma in business, hospitality or logistics
  2. At least 4-5 years of progressive relevant experience in higher education, training or hospitality industry preferably in a multi-cultural environment.
  3. Must be an extremely quick learner
  4. Some experience in one or more of the following areas of principal duty: customer service, procurement, logistics and event management, project management.
  5. Excellent organizational skills
  6. Excellent oral and written communications skills in English, Cantonese and preferably Mandarin
  7. Collaborative work style, highly organized with strong analytical and multi tasking skills, independent and resourceful.
  8. High proficiency with Microsoft office (especially Excel, Word, PPT) and Adobe required
  9. Must be able to work legally in Hong Kong on a permanent basis

 

SALARY AND BENEFITS

The salary will be competitive and commensurate with experience. In addition to salary Chicago Booth offers an attractive benefits package including 20 days holiday per year - prorated (excl. Hong Kong Public Holidays), MPF fund contribution, private medical insurance offered.
