Job Description

Job Scope:

To support Director and above with administration, workflow processes and implementation of effective standards and procedures

 Primary Responsibilities:

  • Provide administrative and clerical support to respective Directors and team.
  • Monitor assigned teams expenses, review monthly departmental P&L and assist with expense forecast and annual budget process as required.
  • Coordinate with IT department to ensure all team members have the proper hardware and software to perform their daily tasks.
  • Coordinate Directors’ schedules and make appointments; arrange & coordinate travel schedules & reservations.
  • Coordinate and arrange meetings, prepare agendas, reserve facilities and record and transcribe minutes of meetings.
  • Maintain a comprehensive travel & marketing calendar file to ensure required reports are properly prepared and submitted on a timely basis.
  • Forecast and facilitate the necessary purchase, supply, and distribution of inventory and required resources. Identify areas for cost reductions and implement strategies for cost reduction and containment.
  • Correlate and distribute incoming and outgoing mail.
  • Organize and maintain file system; file correspondence and other records.

 Required Experience & Skills:

  • Diploma or degree in Hospitality / Hotel Management is preferred.
  • Minimum 4-5 years relevant experience of which at least 3 in hospitality industry. Experience with large scale operations or across multiple sites is an advantage.
  • Have qualified organizational skills to manage several tasks at once.
  • Effectively present information and respond to questions from managers, vendors, customers and the general public.
  • Proficiency in languages other than English, Cantonese and Mandarin are an advantage.
  • Experience with Photoshop and InDesign.
  • Knowledgeable and proficient in Windows, Excel and Word. Sales and Catering Management system (Delphi) is preferred.
