Job Description

Our client, a major provider of worldwide relocation services, now seeks to appoint an Immigration Services Manager China (ideally a Mandarin speaker), to be based in their office in Beijing, Shanghai or Hong Kong.

Duties & Responsibilities:

Overall responsibility for managing and developing the visa & immigration business in all Company offices in China or Hong Kong, while driving the improvement of the operational service delivery of the teams through mentoring, coaching and facilitating training to the highly customer service focused immigration team. The objective is to have the finest professional immigration team providing the highest level of service possible in the region and internationally.

The Manager, Immigration Services will be responsible for remotely managing the immigration staff related to the relocation services division as they operate within the matrix system that is in place within the group. The Manager, Immigration Services will be responsible for gaining the cooperation of all senior managers and sales staff, as the relocation services division exists within each operating unit.

The ultimate goal is to take the Company’s immigration solutions to the next level, with the objective of becoming the leading provider of immigration services in China.

Essential Functions:

Provide leadership and direction for the Immigration Services of the Company throughout China or Hong Kong.

Provide prompt responses to Global & Regional client contact including human resources, managers and employees regarding global immigration processes, procedures, timelines and service fees.

Ensure risk management procedures are in place by reviewing all outgoing emails, advisories and immigration application paperwork prepared by Consultants.

Prepare service fee quotes, immigration process flows, procedures, presentations and any information or data requests by clients, partners or Company stations.

Develop new immigration business together with the sales teams.

Develop sales presentation specific to immigration solutions.

Be prepared to travel to assist in the presentation of RFP’s and develop Immigration business.

Look for opportunities to present and speak publicly at ERC/AmCham type events to represent and promote the Company’s visa and immigration services in China.

Manage workload of each Immigration Consultant to maintain quality and timely service delivery.

Manage any service failures or client escalations by doing complete research; including timeline of events, summary and action plan.

Ensure timely immigration updates / alerts are obtained and prepared for distribution within 24 hours of announcement.

Manage and meet targeted monthly budgets.

Check accuracy, sign and approve all invoices for immigration cases.

Provide sufficient resources for establishing, operating and management of information security systems available (i.e. secure document storage, secure courier deliveries, enforcing staff confidentiality and code of ethics).

Provide ongoing training for current and new employees and developing potentials in staff for promotions and growth in team.

Conduct regular client ‘Performance Review Meetings’ to review current case activity, ensure clients’ needs are being met and make recommendations for process improvements, taking account of trends in the market together with clients’ business needs.

Develop cost effective, practical solutions to support the daily activities of the immigration business.

Maintaining the internal database and case tracking system, Integrated Security Information System (ISIS) and ensuring team's data is accurate.

Review team’s immigration reports as and when required to ensure data accuracy, integrity and timeliness with a goal of ensuring 100% accuracy.

Provide assistance to management in setting-up of new immigration divisions in any branch offices throughout China.

General:

To promote all Company services wherever possible.

Report regularly to Management on results and progress with the Business Development of Immigration services.

Promote Company services through direct contact with corporate accounts, overseas agents, immigration and look for new opportunities, law firms and networking events, Chambers of Commerce functions etc.

Interview short listed candidates for the Immigration Department.

Build and train the Immigration team, to make sure the teammates are qualified to provide standard or high-level services.

Supervise the team performance, and review the staff periodically.
