Job Description

We are searching for a Business Services Coordinator who will be responsible for providing administrative support to the Business Services team, while presenting King & Wood Mallesons in a highly professional manner to employees, clients, suppliers and others.

About the role

  • Oversee the flow of mail room operations to ensure proper handling of incoming and outgoing mail/packages to appropriate parties
  • Ensure the provision of efficient and timely deliveries both within and outside the firm
  • Coordinate binding, copying, printing and scanning work, and working within set timeframes
  • Supervise set-up and teardown of all meetings and events according to specifics of the set-up information and users' requests
  • Handle all confidential or high-level information with discretion and professionalism
  • Ensure that all required mail room recordkeeping and work is accurate and up to date
  • Advise department management on issues and make appropriate recommendations for solutions to problems that require escalation
  • Supervise the mailroom team members, and manage staff issues and rosters
  • Perform other ad hoc duties and projects as requested by the supervisor/manager

About You

The successful candidate will have:

  • Significant relevant industry experience in a similar role and preferrably Business College Certificate, Diploma or above
  • Knowledge in customer service principles and practice
  • Experiences in process and delivery management, a commitment to the delivery of quality services in a timely manner
  • Intermediate Mircosoft office knowledge, including Word, Excel and Powerpoint
  • Knowledge of administrative procedures

  • Ability to communicate in an effective manner with colleagues and clients (both verbal and written)

  • Dedication to work hard, remaining calm when confronted with extremes of work pressure and able to balance work/life needs
  • Willingness to work flexible hours occasionally
