    Responsibilities:

    • Provide full administrative and secretarial support to meet day-to-day activities of Regional Director/HK Country Manager, including his/her travel arrangement, appointment booking, expenses reimbursement report, etc.
    • Organize various meetings and take minutes.  
    • Source, identify, negotiate and prepare major contracts, including the contracts renewal, and various services contracts, is properly approved before the purchase/payment is arranged according to the HQ policies; and to ensure the services level and the cost of the contract is the most efficient and effective.
    • Organize and maintain an up-to-date filing system for all corporate documents for Hong Kong &all existing and future Asia Pacific marketswhere documents are easy to locate/audit whenever required.  
    • All itemsfrom any channels sent inshould be well screened before sending to the Director for approval
    • Handle all incoming and outgoing mail/faxes and/or correspondence and formulate systematic follow-up procedures in timely manner.
    • Be prepared to work and participate in all major company’s events.
    • Assist to prepare the PowerPoint materials as requested.
    • Prepare the Monthly Report and provide analysis on various matters for the company as directedand to prepare strategies.
    • Assist HR for the recruitment process, including prepare and post recruitment ad, screening CV and arrange interviews.
    • Assist HR to organize various staff activities.
    • Ensure all other related activities (including various Company’s functions and duties) as directed by superior are completed in the most effective and efficient manner.


    Requirement:

    • University degree majoring in Business Studies; formal secretarial training with Secretarial Certificate or equivalent would be an advantage
    • At least 5 year’s office and/or personnel administration experiences in multinational company or international environment.
    • Good interpersonal skills & high ability to communicate (speak and write good English & Cantonese in proper and friendly etiquette; Mandarin is an advantage).
    • Proficient with Microsoft Office environment (Word, Excel, PowerPoint, Email)
    • Flexible, Well-organized with excellent time-management skills
    • Results oriented& attentive to details
    • Excellent negotiation skills are required to deal with vendors.
    • Self-motivated with enthusiasm, ability to work independently and has good initiative under dynamic environment.
    • High level of confidentiality and maturity required.
    • Immediate available is an advantage
