    Gilead currently has two shared services teams supporting the worldwide business, an International Financial Shared Service team in Cork, Ireland, currently supporting 34 countries in EMEA, Asia and Latin America, which was established in 2009 and a North America financial shared services team formed in 2014 through a reorganization of existing functions under one worldwide Financial Shared Services organization supporting the US and Canada. The Financial Shared Services (FSS) focus is on delivering value added financial services in an efficient and effective model that supports the company’s growth and enables in-market Finance to focus on activity that more directly supports commercial activities.

    General Job Requirements:

     

    Reporting to the Associate Director FSS AsiaPac this position will be responsible for contributing to the establishment of Gilead’s Financial Shared Service Centre and will have primary responsibility for the successful operation of the Record to Report (RTR) function in the FSS Centre to be located in Hong Kong. . The newly established AsiaPac FSS Centre will have responsibility for Record to Report, Procure to Pay, Order to Cash and certain payroll support activities for the Asian region including Hong Kong, Singapore, Taiwan, South Korea, China, Japan and Australia/New Zealand.

     

    This position will report to the Associate Director FSS AsiaPac who will be a member of the worldwide Financial Shared Services leadership team.

     

    The individual in this role will lead the Hong Kong FSS in the planning, management and delivery of RTR services.

     

    The customers for the RTR processes will be represented by Finance Directors of the Gilead countries in the AsiaPac Region and along with the broader finance team and business stakeholders. 

     

    Position Specific Job Requirements:

     

    • Provide functional leadership and champion the vision of the FSS organisation
    • Contribute to the establishment of the FSS Centre in AsiaPac, by
      • Deliver the successful and on-time migration of functions into the FSS
      • Successfully completing work-shadowing and process documentation for all RTR processes for Asian markets to be supported by FSS Centre in Hong Kong
      • Ensuring documentation is tested, verified and signed off
    • Contribute to the development of the Shared Services culture to attain desired goals which will include efficiency and effectiveness targets
    • Recruit, retain, motive, performance manage and develop staff to operate the RTR processes
    • Manage, train, and provide guidance and direction to the RTR team and market Users
    • Manage the overall process effectively, reporting KPI’s and enhancing and streamlining the effectiveness of the process
    • Recommend changes in processes and/or policies that identify and utilize technologies that will provide efficiencies
    • Manage, prepare, administer, and direct the accounting close and financial reporting process for the markets within their responsibilities
    • Review and approve transactions and account reconciliations for the markets
    • Maintain ledger integrity and ensure financial compliance with the worldwide Controller’s manual and to all applicable laws and regulations
    • Help develop, maintain and assess internal controls related to Gilead’s accounting and financial reporting systems
    • Coordinate and manage the transition of additional activity from the markets into the RTR team
    • Coordinate the Balance Sheet Reviews with the Asian Controller and Market Finance Leads for all Asian Markets
    • Interacts successfully with non-financial personnel as well as with internal and external auditors
    • Act as an assistant and back-up resource to the Associate Director PTP/RTR/OTC
    • Establish strong personal credibility with the market finance team and build a strong relationship with stakeholders
    • Work with process specialists, in-country staff, supervisor and Manager to improve processes
    • Ensure that all standards in the service partnership agreement are consistently met and key performance indicators achieved

     

     Knowledge, experience, competencies:

     

    • 7 years+ relevant experience in a multi-national environment (experience financial shared services is a must)
    • Knowledge of the Biotech or pharmaceutical industry including  market regulation and compliance would serve as a distinct  advantage
    • Accounting/ Finance / Business degree or MBA
    • ACA/ACCA/CPA qualification is preferred - Big 4 or similar practice accounting  background a distinct advantage
    • People management experience preferable
    • Strong knowledge of US GAAP,  accounting principles and practices
    • Experience in interacting with external and internal auditors along with detailed knowledge and experience of SOX Compliance is critical for the role
    • Working knowledge and experience of Oracle or similar ERP product
    • Proficiency with Microsoft tools (Excel, Outlook, and Word) required
    • Self-starter and able to act on own initiative
    • Proven analytical ability and creative problem solving skills
    • Self-driven with high levels of integrity, excellence and teamwork
    • Excellent problem solving skills and ability to be detail oriented
    • Capable of managing multiple priorities simultaneously, working under pressure and to meet strict reporting deadlines
    • Excellent communication and interpersonal skills (oral, written, presentational)
    • Project Management skills and experience desirable
    • Demonstrates team work and collaborate approach to work
    • Fluency in both written and spoken English a prerequisite, Japanese and Korean language skills a plus
