Immediate Supervisor: Head of University Guidance Counselling



The University Guidance (UG) Administrative Officer’s main role is to provide administrative and clerical support to the University Guidance Counsellors and to ensure the smooth and efficient operation of the office.



Responsibilities include but are not limited to the following:

• Maintaining accurate student files including copies of past reports and grades
• Maintaining accurate office records including the status of current university application and historical data
• Managing the flow of university applications, compiling and mailing out student university applications adhering to set deadlines
• Helping prepare statistical reports
• Organizing and coordinating the schedule of university visits throughout the academic year
• Organizing and overseeing one or two large annual university fairs
• Scheduling counseling sessions for students with their respective counselors
• Assisting in scheduling and compiling content for UG classes and presentations
• Liaising with teachers and chasing academic references
• Preparing and printing transcripts for university applications
• Dealing with parent, student and university enquiries and acting as the first point of contact
• Translating at meetings with parents and counselors when needed
• Monitoring the University Guidance Office (UGO) Budget
• Ensuring proper supplies and equipment are available for the office
• Maintaining and organizing the UGO resource library
• Being responsible for uploading resources on websites for parents and students as guided by the supervisor
• Providing general background information on summer programmes, internships, education systems and admission tests in the absence of counselors
• Coordinating and overseeing the administration of the SAT in school
• Taking part in training sessions and workshops for UGO Ambassadors

Requirements:

• Fluent in English and Cantonese with a strong working of Putonghua
• University Graduate
• Excellent communication and organization skills
• Competent computer and IT skills
• Ability to liaise effectively with students, teachers and parents
• Strong background in education, counseling and administration a distinct advantage
