Job Description

Specific Responsibilities and Skills: 

This position performs a wide variety of activities in support of assigned functional or multi-functional area.  Those activities include but not limited to:

  • ŸReceives and directs visitors. Maintains a visitors’ log and may issue badges when necessary. Notifies personnel of visitor arrival. Answers phone calls at general switchboard and transfers calls to appropriate personnel. May perform general clerical duties such as filing, routine word processing, sorting and distribution of mail.
  • Coordinating events and meetings which include the planning, organizing and implementation of a number of event activities.
  • ŸPlanning and making travel arrangements for facilities operations team. Serving as a primary resource for data and information to others in a broad functional or multi-functional unit.  
  • ŸRepresenting a functional or broader multi-functional area on administrative matters e.g. office/pantry supplies ordering, arrange office access for employees.  
  • ŸInterpreting administrative policies and procedures when responding to queries.
  • ŸRecommending and implementing administrative policies and procedures.  
  • ŸInterfacing with external parties to provide information and answer queries.
  • ŸInterfacing with a very broad range of internal management and staff in the course of meeting a wide range of administrative needs.  
  • ŸPerforming routine activities such as word processing, answering calls, creating Power Point presentations, assembling reports.
  • ŸDesigning/revising processes to enhance workflow, which might involve the use of software to generate reports, statistics, timelines, correspondence and presentations.
  • ŸCoordinating the preparation of annual budget, reviewing monthly budget and variances as directed by immediate manager.
  • ŸAssisting in screening CVs and arranging interviews in hiring process
  • ŸScreening and prioritizing manager’s mails and emails.
  • ŸActing as a resource to other administrative assistants and being cross-trained to cover for another administrative assistant.


Knowledge:

  • ŸExcellent communication (both verbal and written) and interpersonal skills are required.
  • ŸGood working knowledge and understanding of general administrative policies and procedures.  
  • ŸAbility to coordinate a variety of activities simultaneously and interface with a number of internal and external parties.
  • ŸAbility to work independently and flexibly.
  • ŸAbility to demonstrate teamwork with other administrative assistants

 

Specific Education and Experience Requirements:

  • A BA or BS degree is preferable. Secondary certificate/diploma or matriculated qualification and 5+ years of related administrative experience required.
