Job Description

 Purpose of Position

This role reports to the Financial Controller of HK, required to handle all HR matters independently, and lead a team of 2 Admin Assistants on handling Administration work. Candidate with more experiences and demonstrated a high level of proficiency would be offered with the Manager title.  Details of the job responsibilities are summarised below.

 

Key Responsibilities & Accountabilities

 

Human Resource

  • Responsible to oversee the HR function for around 60 employees stationed in the HK office.
  • 1st priority is to handle the full set of payroll, MPF and allowances calculation independently, in a timely and accurate manner. It also involves preparing online payment via HSBCnet.
  • Managing the Tax Filing process for employer & employees. (We have expat employees and secondments from the UK headquarter).
  • Manage all benefit administration process including MPF, insurance (life, medical and employee compensation) and leave applications.
  • Recruitment and on-boarding of new joiner, termination and off-boarding of leaver.
  • Preparing employment contracts, and assists Financial Controller in preparing bonus and commission schemes.
  • Assist Financial Controller in preparing Annual Budget and Quarterly Forecasts (3 times a year) on staff costs.
  • Preparing monthly HR reports and analysis (Headcount, Joiner and Leavers summary, etc.)
  • Maintaining HR Policies and ensuring compliances.
  • Maintaining Employee Profile and Database on the “SAP HR” and “HRM Essentials” computer system.
  • Liaising with internal and external auditors for Annual Audit on the Staff Costs. (e.g. showing them with our payroll calculation record, explaining the HR process and control points we implemented, etc.)
  • Managing the Performance and Development Review process, identifying high and low performers, work closely with departments heads for motivating and retaining of talents, and establishing development plan for low performers.

 

 Administration

  • Lead a team of 2 Administration Assistants (Admin, Receptionist & PA of Managing Director) to oversee the Admin function, guiding the 2 subordinates for the reception function and assisting Managing Director in the role of Personal Assistant. Admin part will be more hands-on, otherwise would be in a supervisory role.
  • Liaise with property management office and office equipment vendors to ensure smooth operation of the HK Office.
  • Ensure our client reception quality is satisfactory, especially on how to handle customers interested in buying our products and services.
  • Working closely with our Training department to ensure smooth operation on providing training courses in our office’s training rooms.
  • Also responsible to manage non-HR insurances for the office (e.g. Property All Risk Insurance).

 

 Key Performance Indicators

  • Timely and accurate payroll calculation and payments are of utmost importance.
  • Keeping all HR records in a clear and organised manner, allowing easy and quick access to employee data upon request by the senior management.
  • Working closely with Managing Director and department heads in the role of “Problem Solver” and “Business Partner”, pro-actively assisting and providing good quality advices in resolving HR related problems. (e.g. Would it be better to provide more training to low performer, or terminate his employment and replaced by another candidate?).

 

 Knowledge / Skills / Abilities

  • Degree holder or above with major in HR, Business Administration or related discipline.
  • 3 to 6 years of working experience in HR, with solid experience in payroll, compensation and taxation filing. Having administration experience is preferred.
  • Previous working experience in MNC with Asia Pacific regional exposure is preferred but not a must.
  • Proficiency in HR software. Having experience in “SAP HR” and “HRM Essentials” is preferred.
  • Strong in MS Office Applications (Excel, Word, PowerPoint, Outlook).
  • Strong in HK Employment Ordinance and Tax Regulations.
  • Strong in written and spoken Chinese Cantonese and English is a must. Satisfactory level of Chinese Mandarin is preferred.
  • Self-motivated, proactive, mature, attentive to details, able to work independently and under pressure, good at prioritising workloads to meet tight deadlines, and well versed in liaising with senior management.
  • Excellent in interpersonal & communication skills.
  • A good team player and willing to lead.
  • Immediately available is preferred.
