Job Description

JOB REQUIREMENTS:

  • Form 7/S6 or above
  • Good command of both written and spoken English, Mandarin and Cantonese
  • Computer proficiency in MS Office, Words, Excel, Power Point & Chinese word processing
  • Basic knowledge in Photoshop will be an advantage
  • Basic understanding of accounting will be an advantage
  • Capable of executing multiple tasks and deadlines
  • Willing to learn, self-motivated, and detail-oriented
  • Good organizational and time management skills
  • Team player

 

REPORT TO:

Office Manager

 

ROLES,CORE DUTIES & RESPONSIBILITIES

This position is responsible for supporting the general operational and administrative systems of the office; overseeing media clippings and tracking reports; and supporting the account teams in multiple tasks.

 

Operational

  • Oversee telephone reception duties to ensure coverage at all times and those taking messages or answering the phone in your absence are trained according to company protocols and standards.
  • Order office supplies with a view of minimizing wastage, e.g. stationary, drinking water
  • Coordinate courier services and other related vendors, e.g. printing house.
  • Assist in office events and account teams in press event planning and media trip, e.g. car service, gift souring, delivery.
  • Update & maintain press, client lists, advertising lists on a regular basis
  • Maintain filing system of magazines, clients collaterals, clippings on a regular basis so office environment is orderly and clean.
  • Ensure work is delivered to specific requirements and agreed deadlines.
  • Magazines subscription and purchasing
  • Banking

 

Media Clippings

Overseeing media clippings and tracking reports for all clients to include:

  • Clippings are tracked on a daily basis, both printed and online
  • Valuation reports are maintained weekly
  • Hand-in the reports in a timely manner with no mistake
  • The latest advertising rates are on file
  • Coordinating with clippings house on the clippings requirement and delivery timely
  • Clippings/magazines are properly filed, both hard and soft copies
