Job Description
Report to: Senior events manager
Based in: Hong Kong
Responsible for the day to day coordination of Haymarket Media’s awards in Asia, including awards nights, judging days and general events for Agency of the Year (all regions, including overseeing South Asia, plus Network) and PRWeek Asia Awards, training series of MediaWorks as well as all other events under Campaign’s events team portfolio.
Responsible for day to day management of above events, including:
- Implement growth strategy for awards and training programmes to drive entries and delegates from markets
- Build relationships with key senior contacts within the industry to facilitate promotion of events (including awards entries, juries etc)
- Keep sponsors & delegates informed of all logistical information & marketing timelines, assisting with any general enquiries
- Onsite logistics management of events
- Key point of contact for dealing with customer and delegate enquiries
- Work with team on production of awards shows & conferences, including audio-visual, stage management, table planning etc.
Driving entries and delegates:
- Aim to meet and surpass all revenue targets set for awards entries, table sales and delegates
- Encourage entries, table sales and delegates from the industry
- Call all winners & finalists to ensure they book tables
Coordinate and oversee:
- Categorisation and input of all entry details, plus preparation of judging day (including detailed filing system, preparation of scoresheets, liaison with entrants, judges and staff)
- Preparation of winners lists, supplements, trophy orders, certificates, brochures, badges etc., and liaison with in-house design and production team for preparation of event collaterals
- Onsite duties for smooth running and management of awards, judging sessions etc
- Coordinate, prepare and send out notification to finalists
- Identify need for & supervision of temp staff as appropriate
To be eligible to apply for this position, the individual should be
- Tertiary-level educated
- Experienced in event/training management and/or client facing
- Able to work independently with minimum supervision
- Resilient and demonstrate “can do” attitude
- Equipped with a problem-solving mind
- Able to perform under stress while meeting deadlines
- Detail-minded and attentive to clients, juries and suppliers’ needs
- Act as a team player and support team members, whenever needed
