Job Purpose

Responsible for supporting the management of IT vendor contracts to ensure proper tracking of contracts with invoices and payments matching contracts with proper accrual of spend and tracking of project spend.  

Accountabilities and activities:

• Assist in the Request For Proposal and contracting/CRs process

• General support related to invoicing and payment; e.g. register and provide information to Finance

• Maintain vendor contract (both hard and soft copy in database) and sharing with team, and update contract registry file with contract amount, mandays, payment milestones..etc.  Support in setup / refine of IT vendor contract registry

• Record and Track maintenance various records and payments

• Support on invoice processing.

• Generate monthly (or as required) reports for vendor’s work order / CR settlement, sourcing and reporting

• Update software inventory and payments tracking

• Ensure all contracts/work orders/change requests are properly signed by Bupa and vendors with proper Capex approval according to Change Goverance

• Validating all signatures of Capex Requests, Change Requests and Commercial Proposals, plus cost centres, are in place

• Setup all vendors meetings, e.g. Steering Committees and ensure minutes are filed for follow-up.

• Support in basic contract queries.

• Provide general enquiry to other team members related to contracts

• Support the processing of the body-shop contracting

To be considered for this role you should ideally have:

• Tertiary education at associate degree or undergraduate level

• Experience in coordinating of contracts signing and payment process

• Experience of invoices processing, financial tracking and reporting is preferred

• Demonstrated experience of Excel.

•  Experience in IT vendor management support is preferred.

• Effective communication and interpersonal skills, both orally and in writing, with colleagues and customers at all levels, both formally and informally.

• Good understanding of finance procedures, in particular awareness of accrual (Desirable).

• Strong interpersonal skill, and good verbal /written communication skills.

• Cantonese speaking is a must.
