Job Description

General Summary:

To organize and effectively coordinate the day-to-day working of the Country Manager and handle all administrative and secretarial duties with minimum direction

 

Duties & Responsibilities:

  • Manage the Country Manager calendar, schedule travel and make appointments. Proactively ensure that conflicts are managed.   
  • Prepare information packs for the Country Manager and other members of the management team for business meetings. These could include, but are not restricted to, presentations, speaker notes, providing print outs and proof reading.  
  • Maintain all records that are required for legal compliance and ensure these are kept up-to-date. Proactively inform the Country Manager or the management team about any non-compliances.     
  • Analyze information when required by the Country Manager and provide intelligent reports.    
  • Receive and screen communication to the Country Manager, including phone calls, email and other correspondence and respond to the communication as appropriate.      
  • Anticipate the impact of changes to policies and ensure that all the relevant documents are updated accordingly.
  • Administer programs, projects, and/or processes specific to the Hong Kong office.
  • Serve as administrative liaison with others within and outside the Hong Kong office regarding to administrative activities.
  • Administer office supplies and monitor the related expenses.
  • Perform asset management and risk management.
  • Maintain attendance records.
  • Maintain confidentiality on all matters.
  • Assist Management on ad hoc projects.               

 

Knowledge, Skills and Abilities:

  • Proficiency in the use of MS-Office
  • Excellent verbal and written English and Cantonese
  • Independent decision making
  • Excellent inter personal skills
  • Collaboration across boundaries
  • Ability to deal with ambiguity and changes
  • Should be able to drive excellence and achieve measurable results
  • Demonstrate personal integrity and maintain confidentiality

 

Work Experience &/or Education:

3-5 years’ experience in a similar role
