Job Description

Role Purpose:

The Senior Client Service Officer embodies exceptional client service and demonstrates a broad knowledge of all of the functions within Client Services, Bids Service and Payment. The Senior Client Service Officer will support the Client Services Supervisor and Manager, with the effective running of their daily responsibilities and management of direct reports within the Client Service and bids team, and be the first point of contact in the absence of the Supervisor and/or Manager.
 
 
Key Responsibilities:
Client Services
  • Handle and oversee general client (internal and external) enquiries across all communication channels as outlined in Client Services Standards and according to departmental guidelines including, but not limited to, view / auction information, catalogue subscriptions, condition report assistance, sale results, Christie's.com, Christie's LIVE, and any bidding and account-related matters
  • Provide client services support at FOH, Registration, Bids office and Payments
  • Partner Client Services Assistant Manager and Supervisor to ensure the Client Service Officers are effectively managing their respective tasks, meeting service levels, and supporting the wider Client Services team in providing an exceptional “one-stop shop” experience for clients
  • Act as anchor within the team for their subject matter expertise to provide guidance & support when officers require assistance, providing constructive feedback if necessary
  • Assist in gathering and recording positive & constructive client feedback
  • Be the first point of escalation for Client Service Officers when they receive complaints & require further support. Ensure Client Services Management is aware of any escalated issues raised by clients
  • Be responsible for ad hoc activity communication to the team, updating any sales or viewing changes are updated to the team in a timely manner
  • Provide subject matter expert knowledge to the Supervisor and Assistant Manager to support them with creating effective training materials & delivering training, for new and existing CS staff
  • Coach a team member to succeed in assigned task and adapting to Christie’s Culture
  • Other duties as assigned by Manager

 

Bid Services

  • Preparation of Auctioneers Book, liaising with specialist departments and Auctioneer
  • Managing all bids received through all channels and register in IT System
  • Follow correct procedures for Anti-Money Laundering, Credit Control for Clients. Liaising with respective teams responsible for this
  • Carry out post sale procedures, liaising with finance and specialist departments in closing sales
  • Training and managing temporary staff during offsite sales
  • Update Bid statistics after each sale, research past underbidders and buyers. Preparing reports for Specialist Departments
  • Sales clerking, Live clerking for each auction. Responsible for entering buying information directly onto in-house systems (Property or JDE)
  • Coordinating Telephone Bid allocation. Organizing staff bidding on telephone
  • Proficient in Christie’s Live, Online Only Sale registration and procedures
  • Prepared to carry out these duties at offsite sales

 

Cashier

  • Handle incoming funds, received via all methods of payments
  • Handle client enquiries on payment received, outstanding payments or charges, and collection procedures
  • Have good knowledge of all methods of payment, credit facilities, cheque approval facilities, exchange rates, payment for lots at different Christie’s location, VAT, Sales Tax and consignment tax
  • Handle cashier inbox enquiries as allocated by Supervisor

 

Skills & Experience

  • BA/BS or comparable working experience in client service preferred
  • Demonstrated ability to reflect the image and standards of Christie’s in all situations in accordance with Client Service Standards
  • Ability to remain clam under pressure. Accuracy and attention to detail in dealing with all client data
  • Detailed knowledge of resources available within the organization to resolve internal and external problems and concerns
  • High degree of organization with ability to multi-task, prioritize, and follow up promptly
  • Positive, dynamic attitude and an ability to lead by example
  • Ability to work well as a team and communicate confidently with colleagues
  • Excellent verbal and written presentation skills
  • Logical thinker, attention to detail, and excellent personal organisation
  • Flexible working hours when required, including evening and weekend sale coverage
  • Excellent general IT skills and knowledge of Christie’s systems
  • Fluency in Cantonese, Mandarin and English
