They are a top consultancy firm in Hong Kong and provide different lines of consultancy services globally. A leader within the market place, they provide an environment for individuals to thrive and excel. Currently, they are looking to hire a top notch Executive Assistant to support a Partner and his team. This role will require an individual that has solid secretarial skills from large organizations with the ability to multi-task and deal with people at all levels.
Responsibilities
- Handle all extensive diary management and travel arrangements for the Partner and his team
- Prepare monthly expenses in a time manner
- Handle an all rounder secretarial tasks as and when needed including any other administrative duties to support its team
- Work closely with travel agencies on the bookings of any overseas travels including preparing detailed and précised agendas for the team with regards to their overseas trips
- Monitor and closely work with any hotels to get the best pricings across the region
- Prepare PowerPoint presentations and excel spreadsheets for meetings, regional conferences etc
- Liaise with other team members or secretaries both in the Hong Kong and overseas offices to ensure a smooth transition
- Prepare all necessary documents, materials, collaterals for any events that are being organized
- Work closely with the delegates, team maters or other co-organizers to meet datelines and to ensure the events are organized and planned in a timely and efficient manner
- Liaise with hotels and other parties to negotiate on deals
Requirements
- Strong command of English is essential with ability to speak Cantonese. Mandarin is a plus
- Ideally has experience from MNC or large organizations
- Has exposure working in a multi-cultural environment
- Ideally a Diploma or Degree holder
- Experience in organizing medium to large scale events and off site meetings
- Strong negotiation skills
- At least 10+ years of secretarial experience supporting senior management
- Strong ability to multi-task
- Good negotiation skills with vendors, travel agents and hotels
- Strong interpersonal and communication skills
- Good computer skills
- Strong co-ordination skills
- Willing to travel when the need arises
