Department: Regional Legal & Public Affairs /Regional Strategy & Business Development 

Reporting Line: Vice President Legal & Public Affairs/ Executive Vice President Strategy & Business Development

Job Summary:

This position is responsible for full spectrum of administrative and secretarial support to a Vice President.  The incumbent works independently and handles confidential information. In addition, this position will provide administrative services to the respective department.

 

Principal Accountabilities:

Secretarial and Administrative Services

–        Provide full secretarial support to VP such as: maintain schedule of meetings and business appointments, handle travel arrangement, processes expense claims.

–        Coordinate weekly calendars and contact information for RMM (Regional Management Member) schedule.

–        Coordinate senior management executives’ visits, conferences/meetings and any hospitality projects when required.  Facilitate the meetings with the compilation and dissemination of meeting agenda, minutes and any other meeting materials as needed. This includes venue sourcing/event management and coordination of group itineraries.

–        Assist in the development and preparation of presentation materials (e.g. budget, strategic plan, etc.).

–        Establish and maintains files and records.

–        Co-ordinate relationships and maintain contact information database with key Government departments, professional alliances and trade organizations and their secretaries/assistants.

–        Assist in analysis and reporting of regional hotel compliance surveys

–        Prepare T&E reports for the VP and Directors

–        Perform other duties or facilitate ad-hoc projects as and when assigned.

 

Team Support

–        Provide administrative supports to the Departments, e.g. handle travel arrangements and check T&E reports for management approval, coordinate team calendars.

–        Assist management to disseminate company policies/procedures and its administration.

–        Perform other duties or facilitate ad-hoc projects as and when assigned.

 

Requirements:

-          Diploma or above with formal secretarial training

-          At least 5 years' PA/ TA experience in MNC/Law Firm/Professional Firm /sizeable companies & serving senior executives & expatriates

-          Excellent PC skills ( Microsoft Office )

-          Confident and presentable

-          Good inter-personal and communication abilities

-          Pleasant personality with excellent administrative, problem solving skill and organizational skills

-          Self-motivated, fast learner, able to work independently & under pressure, dedicated & going the extra mile

-          Good team player

-          Flexible and able to adapt to changes

-          Event management experience an advantage

-          Excellent command of both spoken & written English and Chinese, French & Mandarin optional
