The Office Administrator will work closely with the Managing Director for APAC, helping support and coordinate work schedules and activity across the region.  The role will also act as a key member of the Hong Kong team, helping coordinate and manage office logistics, both locally and across the region where required. 

 

Responsibilities

 

  • Support the Managing Director, APAC in the capacity of a Personal Assistant
  • Coordinate daily office activities and operations to ensure overall work efficiency
  • Create and update office files, records and databases
  • Manage agenda, travel arrangements and appointments etc. for senior management
  • Assist and ensure smooth communications internally and externally
  • Advice, assist, support and collaborate on special projects and big events
  • Prepare reports, presentations, memorandums, proposals and other correspondence
  • Arrange the ordering of office supplies
  • Manage an inventory of office supplies and place orders when necessary
  • Assist with recruiting, and onboarding of new hires, including facilitating IT set ups
  • Other work/ projects as assigned from time to time

 

Requirements

 

  • Minimum of 2 years of progressively responsible secretarial and administrative experience
  • Excellent knowledge of MS office (Excel, Word, PowerPoint) and office management software etc.
  • Solid understanding of high level administrative & office practices
  • Superior time management, organizational and multitasking skills
  • Attention to detail
  • Ability to prioritize tasks with minimal supervision
  • Excellent interpersonal and communication skills
  • Able to work well with all levels of management
  • Ability to independently solve problems and make recommendations
