How you will make an impact: 

The incumbent will have a vital role in offering administrative and operational support to the HR Business Partner (HRBP) and the Human Resources department as a whole. This position will assist in diverse HR functions and initiatives, ensuring seamless operations and efficient delivery of HR services to employees. Responsibilities will include maintaining HR records, coordinating HR processes, and providing support in employee relations activities.

 

Job Responsibilities

HR Administrative Support:

  • Assist in maintaining accurate and up-to-date employee records, including personal information, benefits, and employment status changes.
  • Prepare HR-related documents, such as employment contracts and probation confirmation letters.
  • Coordinate HR-related meetings, events, and training programs.

Recruitment and Onboarding Support:

  • Assist with recruitment activities, including job postings, interview scheduling, and candidate communication.
  • Coordinate employment checks and reference checks.
  • Assist in the onboarding process by preparing new hire paperwork, conducting orientations, and ensuring a smooth transition for new employees.

HR Process Coordination:

  • Assist in employee engagement initiatives, such as employee surveys, recognition programs, and employee events.
  • Collaborate with HRBP to coordinate employee offboarding processes, including exit interviews and exit formalities.
  • Help administer HR programs, such as employee benefits, leave management, and employee wellness initiatives.

Employee Relations Support:

  • Assist in maintaining positive employee relations by addressing employee inquiries and concerns in a timely and professional manner.
  • Maintain confidentiality and handle sensitive employee information with discretion.

HR Data and Reporting:

  • Compile HR data and prepare reports for HRBP and management as needed.
  • Assist in data entry and maintenance of HRIS (Human Resources Information System) and other HR databases.
  • Support HRBP in analyzing HR metrics and trends to identify areas for improvement.

HR Compliance:

  • Stay updated on relevant employment laws and regulations to ensure HR practices and policies comply with legal requirements.
  • Assist in HR audits and compliance reviews.
  • Support HRBP in maintaining HR policies, procedures, and employee handbook.

 

What we are looking for:  

Qualifications:

  • Bachelor’s degree in human resources management, Business Administration, or related disciplines

Experience and skills:

  • At least 1 year of relevant human resources experience in an HR administrative or support role is preferred.
  • Familiarity with HR processes and practices.
  • Strong organizational and administrative skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and HRIS systems.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal skills and ability to work collaboratively in a team environment.
  • Proactive, self-motivated, and able to manage multiple tasks and priorities.
  • Knowledge of employment laws and regulations is a plus.
  • Hands-on experience in using SAP SuccessFactors is a plus
  • Immediately available is an advantage.
  • Fresh graduate will also be considered.
