Job Description

Private Investment Firm seeking an extremely resourceful and organized person to fill the Executive Assistant to CEO role.

The CEO is an experienced entrepreneur and investor with a long track record of building and scaling companies across multiple sectors. The CEO now leads a private investment firm. The role involves close partnership with an individual who values initiative, clarity of communication, and the ability to manage diverse responsibilities with discretion.

We are looking for an Executive Assistant who is steady, organised, and comfortable handling many different types of tasks to support the CEO. Much of your work will involve supporting the CEO’s daily life outside the office - for example, coordinating home-related appointments, arranging errands, organising small events, and helping oversee practical household needs. You will also assist with travel planning and short but critical and important projects. The role is based in Hong Kong but you have the flexibility to work from home. You will also have independence and freedom in how to plan your day, but the job requires a high level of responsiveness and good judgement.

Main Responsibilities

Schedule & Administrative Support

  • Manage the CEO’s calendar, appointments, and daily to-dos

  • Handle filling in forms, document submission, utility bill payments

  • Assist with personal and domestic projects such as visa applications for the family, arranging for vehicle maintenance, hiring replacement household staff

  • Assist with managing the household staff 

Travel Arrangements

  • Research and book flights, hotels, and transport

  • Help plan travel schedules and related meetings

Projects & Occasions

  • Support short-term projects such as planning celebrations and events

  • Organise birthdays, anniversaries, and other special occasions, including helping with invitations, decorations, transport arrangement, food and beverage choices

Coordination With People & Services

  • Communicate with household staff to help keep schedules running smoothly

  • Help to coordinate repairman, vendors, local service providers, often in Cantonese

Driving & Transport

  • Holding a valid Hong Kong driver’s license is a great plus; there may be occasional assistance with driving, pickups, and drop-offs when needed

Other Tasks

  • Help with errands and tasks (for example arranging for gifts, flower delivery, designing and printing invitation, arranging for long term storage of items)

  • Provide support on critical projects as they come up




Requirements

Personal Qualities

  • Calm, resourceful and tenacious

  • Very strong attention to detail

  • Trustworthy and respectful of privacy

  • Experience handling personal matters and projects for executives

oOther Requirements

  • At least 5+ years relevant experience serving senior executives

  • Excellent command of spoken and written English

  • Fluent Cantonese and written Chinese for speaking with local vendors

  • Excellent coordination and organization skills

  • Able to solve problems in a practical and thoughtful way

  • Knowing how to use Canva and AI tools is a huge plus

  • Occasionally able to travel internationally when required on short notice (~2-3 days)

  • Learns quickly and is willing to take on new types of tasks

  • Kindness and respect in dealing with others
