Job Description
- Makes necessary arrangements for vessel entry into port, customs, pilots, tugs, port and liaise with Master for all port formalities.
- Acts as main contact for vessels assigned regarding all vessel requirements, keeps all parties informed (e.g. Principal, Master, Government officials, Port Authorities, Terminals, Shippers/Receivers, Vendors, Contractors, etc). Maintain good relations with all parties.
- Co-ordinates all husbandry and crew matters (e.g. crew changes, medical, hotel/travel) as needed.
- Responsible for logging, informing and seeking approval for any additional requirements during the vessels call that is outside the ‘initial’ scope of work.
- Ensure all shipping documentation and reports are issued on time and accurately.
- Ensure timely data input of vessels’ timings, service order in company’s system, i.e. ONEDA, OPTIC.
- Obtains, maintains and disseminates up to date information on the security levels of vessels and the port facility.
- Follow internal and external procedures ensuring compliance both with ISS standards, customer standards and legal requirements
- Communicates all issues of importance immediately without delay to customers and related parties, evaluates possible courses of actions and makes recommendations.
- Conducts preplanning of the port call in conjunction with Operations Manager to clear out any uncertainties prior to arrival.
- Ensures performance of the approved vendors/contractors meet expectations at agreed costs.
- Ensures all office numbers/cell numbers contacts after office hours are easily available at any time during port call.
- Ensures professional and timely boarding of the vessel.
- Ensures all reporting and documentation requirements are properly executed as per customer’s instructions.
- Look for continuous improvement opportunities and forwards the same to Operations Manager.
- Assist Operations Manager to handle the enquiries.
Requirements:
• Completed Secondary Education OR above.
• Preferably with 2-3 years working experience in shipping agency; recent graduate will be considered as trainee. More experience will be considered as Supervisor.
• Good spoken and written English and Chinese including Mandarin.
• Proficient in MS Outlook, Excel, Word.
• Good interpersonal/ communication skills and customer service attitude.
• Good team player, organized and detail-minded.
• Self-initiative, high integrity, independent and willing to work outdoor and at irregular hours; night shift work is required.

Business Need / Purpose of Role
The Boarding Officer is responsible for providing logistics service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office, managing vessel requirements, procurement of relevant vendor services, and undertaking vessel boarding as required. Performs office and non-manual work assisting Inchcape in the running and servicing Inchcape’s 24-hours-a-day, 7-days-a-week on-call services commitments to its Principals.
