Job Description

Administration 

  1. Reception Services 

  • Manage reception duties: answer incoming calls, greet and assist office visitors. 

  • Handle all internal and external correspondence, including physical mail, courier services, and email.  

  1. Facilities & Office Services 

  • Manage office services contracts (e.g., stationery, supplies), regularly reviewing suppliers for service quality and cost-effectiveness. 

  • Ensure proactive maintenance of the facility, coordinating and tracking scheduled checks and audits. 

  • Serve as the primary point of contact for all office facilities issues; coordinate with landlord/property agents for resolutions. 

  • Oversee office condition and arrange necessary repairs. 

  • Manage meeting room diaries, coordinate setup, and organize refreshments as needed. 

  • Provide support for employee events and meetings as required.  

  1. Health & Safety 

  • Work closely with the HR Manager to oversee the Health & Safety(H&S) procedures and practices and serve as an active member of the safety team 

  • Ensure appointment and appropriate training of fire wardens and first-aiders.  

  • Facilitate H&S training for employees and brief visitors on office H&S practices and requirements.  

  • Coordinate all risk assessments (H&S and Fire). 

  • Arrange regular testing of electrical equipment and ensure office compliance with H&S regulations. 

  1. General Administrative Support 

  • Resolve employee queries regarding office management 

  • Manage and process expense claims for designated senior leadership (GFD and CIO) and head office team. 

  • Develop and improve administrative systems (e.g., record management). 

 Finance Support 

  • Manage the full Accounts Payable cycle for Head Office: process invoices, record daily expenditure, and setting up new suppliers in the finance system. 

  • Track and review monthly office and individual expenditure, providing recommendations for cost efficiency. 

  • Assist the Finance team with tasks such as system training on Xero system, external audit preparation, and addressing tax queries. 

  • Manage company bank accounts. 

 HR Support 

  • Welcome new starters on Day 1, setting up IT equipment, workstation, H&S briefing and onboarding documentation. 

  • Train new starters on the use of travel booking, expense submission and other programmes 

  • Maintain accurate records and generate reports for employee holiday, sickness absence, and allocated company assets.
