Job Description
Due to team expansion, we are seeking a proactive and highly organised Executive Officer I/II to provide comprehensive administrative and secretarial support to the Legal Counsel Office. The successful candidate will support the General Counsel and the Office in day‑to‑day office operations, document and records management, meeting and event coordination, and perform any other duties as assigned.
Duties
Provide executive secretarial support to the General Counsel, including calendar management, correspondence drafting, travel arrangements and meeting preparation;
Handle legal request workflow and document processing, including intake, preliminary review, classification, filing, indexing and maintaining agreement repositories;
Manage the Office’s document management system, website and other online platforms;
Coordinate meetings, events and other activities, such as preparing and maintaining papers, agendas, rundown, and meeting notes;
Manage budgeting, procurement and basic accounting tasks for the Office, and liaise with finance and procurement units as needed;
Serve as a key internal and external liaison in maintaining positive working relationships with stakeholders; and
Undertake special projects and perform any other tasks as assigned.
Requirements
A Bachelor’s degree with relevant work experience. Strong command of written and spoken English and Chinese (including Putonghua); proficient in MS Office (such as Word, Excel, PowerPoint) and other productivity tools; quick to learn document management systems and other office technologies; good organisational and problem-solving skills; being self motivated, detail oriented and able to prioritise multiple tasks under tight deadlines; an effective team player with the ability to work independently are required. A law degree and/or prior experience in a law firm or in house legal department would be an advantage.
Candidate with more than 5 years’ relevant post-qualification experience may be considered for appointment as Executive Officer I.
Shortlisted candidates may be invited for a written test.
Salary and Conditions of Service
Remuneration package will be highly competitive, commensurate with qualifications and experience. Appointment will be made on a fixed-term contract; fringe benefits include gratuity, leave, medical and dental schemes.
